Program Assistant(s) will work closely with a DPI unit and across the organization to further the team's programmatic goals. They will support the goals and initiatives of DPI teams in efforts to grow programming and impact within the city of Chicago and state of Illinois. The successful candidate(s) will manage day-to-day operations and short-term projects to help drive progress toward long-term initiatives in line with the overall mission of DPI, the Illinois Quantum and Microelectronics Park (IQMP) and the University of Illinois System

Duties & Responsibilities:

  • Provides support to a director, administrator or other senior staff, performing professional support tasks, assists with budget functions as necessary
  • Provide program knowledge and expertise including preparing or compiling supporting materials, documents, and files in preparation for meetings and other unit activities
  • Serve as information resource: gather information, prepare materials, respond to questions, and disseminate information on behalf of DPI
  • Serve as an integral communication intake point and coordinator for DPI
  • Acts as a liaison to campus, agency and community groups, other skilled specialists throughout the state and nationwide; serves as a resource person
  • Coordinates the logistics and activities for specific programs
  • Provide email support with a high degree of tact and technical knowledge
  • Receive, screen, document, and route incoming communication. Manage follow-up actions on inquiries through resolution
  • Practice active listening to extract relevant information from conversations, arrange the information efficiently, and take appropriate action
  • Other duties as assigned
  • Manage unit purchases and project/program budgets including organizing purchase and travel requests, routing approvals, and maintaining documentation in compliance with university policies
  • Nurtures a network of support through the university, local campus communities, and other key stakeholders
  • Review meeting notes and other documents to determine appropriate follow up items
  • Coordinate and schedule the calendars of DPI Directors and unit staff, which are complex and fluid
  • Exercise independent judgement in determining priorities and effective utilization of time for meetings and appointments, including coordination with other administrative offices and DPI units
  • Prioritize conflicting needs, handle matters expeditiously and proactively, and follow-through on tasks to successful completion, often with deadline pressures
  • Other duties as assigned
  • Minimum Qualifications Required:

    1. Bachelor’s degree.

    Preferred Qualifications:

    • Knowledge of general office practices and procedures
    • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
    • Knowledge of principles and methods for curriculum and training design, teaching and instruction for individuals and groups, and the measurement of training effects
    • Skill in oral and written communication
    • Ability to work effectively with staff, the public, and outside constituency groups
    • Ability to organize and multi-task
    • Ability to supervise and knowledge of administrative concepts and methods.
    • Ability to utilize various computer software packages
    • Ability to work independently and exercise judgment in order to be able to analyze and investigate a variety of questions or problems
