Position Summary

The School of Public Health (SPH) seeks an Extra Help Main Desk Attendant who will provide facilities-oriented support for the SPH and the Department of Psychiatry. Under general direction of the SPH Facilities Manager, the position is responsible for front desk coverage, package and mail distribution and the effective management of the operation and oversight of the School of Public Health and the Psychiatric Institute (SPHPI) facilities.

Duties & Responsibilities

  • Utilize excellent customer service skills to provide front desk coverage during normal operating hours and occasional evening hours.
  • Front desk activities include responding and directing telephone calls and emails in a friendly, courteous, and prompt manner, answering the front door and dock buzzer system during operating hours, providing information to students and visitors, and providing general oversight of the facility.
  • Accept and distribute incoming Campus and USPS/courier mail and packages.
  • Submitting Facilities work orders through the FMWeb system.
  • Manage electronic correspondence and resources of the facilities team.
  • This includes managing front desk shared folders in cloud systems (i.e. Box) and assisting with EMS-related work and utilizing the room reservations system.
  • Utilize project management skills to engage in and provide support to the Facilities Manager in facilities-related projects.
  • Lifting and moving equipment, furniture, packages, and other items will be necessary for certain projects or events.
  • Provide general oversight for the safety and security of SPH facilities.
  • Ensure classroom and other room doors or opened and locked each day.
  • Perform other related duties and participate in special projects as assigned.
  • Minimum Qualifications

    1. High School Diploma or equivalent.

    Preferred Qualifications

    • College coursework.
    • One year of facilities-related experience.
    • Excellent technical skills and knowledge/proficiency with Microsoft Office (Excel, Word), cloud systems (i.e. Box) and online video conferencing platforms (Zoom, WebEx, Microsoft Teams).
    • Strong project management skills.
    • Strong interpersonal, communication, written, and customer-service skills; conscientious of the integrity of work provided.
    • Ability to work autonmously, and collaboratively in a dviserse and team-based environment.
    • Ability to deal effectively with various personalities and the ability to manage and prioritize multiple tasks or projects.
    • Ability to lift light, medium and heavy items.
