I. JOB OVERVIEW
Job Description Summary:
This position will be responsible for the coordination, development, and oversight of the overall post-award grant cycle activities of sponsored projects. These include complex multi-site projects from a variety of sponsors, federal and non-federal. The individual will work directly with the Principal Investigators (PIs) and will be expected to function independently, with general oversight from the Manager of Research for Research Administration Pod 1, which supports six academic units*, and in coordination with the Associate Deans for Research, the Finance Directors and other members of the administrative teams within those units, as well as central administration, including the Office of the Vice Provost for Research (OVPR).

As a liaison between sponsors, investigators, and campus partners, this role is critical to maintaining effective relationships and responsiveness to the George Washington University, federal, and sponsor policies, regulations, and values.

Duties and Responsibilities:
  • Handles all communication and coordination with subcontractors, public, private, and government agencies, foundations, and other individuals or groups to exchange information, enlist collaboration, and implement sponsored projects and awarded proposals.
  • Organize award set-up upon receipt of new awards with the PI and OVPR (e.g., administrative establishments, contracts, sub-awards, etc.) Works with Faculty PIs and OVPR regarding annual renewals of awards (progress reports, no-cost extensions, etc.)

  • Reviews the post-award administration of the school’s sponsored projects, including reimbursements, faculty summer salary, purchase order requisitions, service agreements, invoice payments, P-Card activities, payroll distributions, stipends and tuition benefits, etc.
  • Solely handles specially assigned projects; oversees an extensive portfolio of awards and manages a large amount of sponsored project award funding.
  • Facilitates financial award management, award spending projections, and reporting and meets regularly with PIs to review.
  • Maintains familiarity with OMB Uniform Guidance, University policies and procedures, and federal grant and contract regulations; ensures all reports and certificates are processed for grant close-outs; establishes and maintains grant proposal files and updates appropriate databases.
  • Directing management of post-award functions and facilitating the management of awarded projects, including project close-outs, memoranda, and correspondence designed to document, enhance, and expand research activities and programs and ensure that deliverables and milestones are met. Maintains continual contact with PIs, OVPR, the Grants and Contracts Office (GCAS), and others concerning financial matters related to the projects.
  • Identifies issues and streamlines activities that further benefit the Pod and OVPR.
  • Responsible for completing special projects on behalf of the Pod (e.g., preparing Standard Operating Procedures and evaluating Pod metrics to assist leadership).
  • Serves as a liaison between the Pod and OVPR.
  • Enhances professional knowledge and skills by attending seminars/workshops and reviewing published literature and federal guidelines.

Performs other work-related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties related to the position.
Minimum Qualifications:

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 2 years of relevant professional experience, or, a Master’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Experience in post-award research administration, including managing complex, multi-site sponsored projects and financial oversight. Strong understanding of federal grant regulations (OMB Uniform Guidance) and university policies, with the ability to manage award set-up, renewals, and close-outs is desired.
  • Excellent communication, organizational, and problem-solving skills, with proficiency in financial management tools and the ability to work independently and collaboratively with stakeholders preferred.
