I. JOB OVERVIEW
Job Description Summary:
Established in 1865, The George Washington University Law School is the oldest in Washington, DC. The school is accredited by the American Bar Association and is a charter member of the Association of American Law Schools. The law school is located on the GW campus in the downtown neighborhood familiarly known as Foggy Bottom. The Program Associate at The George Washington University Law School will be responsible for supporting administratively the daily work of subject-area Programs at the law school. The incumbent will provide support to assigned deans and programs: Business and Finance Law, Health Law Emerging Initiatives, Litigation and Trial Ad and Animal Law. The Program Associate works closely with the Law School’s Communications Office and its Office of Graduate & International Programs.

The Program Associate will have the following duties and responsibilities:

Administrative Support – Program Documentation and Data

  • Maintain and update program LLM and MSL study plan forms, and JD and LLM Concentration applications.
  • Create and maintain a program that allows program directors to share information about students in a “docket-like" format to facilitate advising and clearance for graduation.
  • Develop a means for Program Directors to review student information to facilitate advising, job placement, and tracking after graduation (for mentoring, and job referrals). This includes access to Banner, with appropriate screens and controls as needed; and integrating across all the various databases and reporting systems to provide improved “customer service” to students.
  • Assist Program Directors and LLM and MSL Advisor to ensure curricular requirements are met for degree programs and concentrations,
  • Track student internships and externships and employment upon graduation, and maintain contact and employment information for all graduating students.
  • Assist with creating exit surveys, ensure graduating students complete surveys, and compile data regarding survey responses.
  • Complete congratulatory letters for graduating students for Program Directors and mail letters with pins to graduating LLM, MSL, and JD Concentrators.
  • Collect and maintain data on course enrollments to facilitate Program Director curriculum planning.
  • Prepare quarterly budget and update reports for the dean’s office to manage finances and reporting for each program.
  • Manage recording and processing of expenses (p-card, invoices, etc.).
Logistical Support to Programs

  • Oversee and support the administrative process for the annual GW Oxford Summer Program in International Human Rights, the Visiting Scholars Program, and others.
  • Assist with a wide variety of administrative duties, including the processing of applications; the organization of data; proofreading/editing documents; scanning; faxing; typing; shipping to FedEx/UPS/USPS; scheduling appointments; responding to telephone inquiries; making reservations; preparing course materials; renewing subscriptions; and ordering supplies.
  • Manage and organize files (in hard copy and electronic).
  • Exercise tact and discretion when handling sensitive information.
Event Planning, Social Media, and Marketing

  • Coordinate with Program Directors and Law School staff on all aspects of event planning.
  • Arrange conference rooms and catering for events, seminars, lectures, and receptions.
  • Secure travel and financial reimbursements for event speakers and participants.
  • Assist with the preparation of flyers, PowerPoint presentations, and other marketing materials for events, seminars, lectures, and receptions.
  • Support the hosting of in-person events and webinars, using Zoom and other platforms.
  • Manage and update social media accounts, including LinkedIn, Instagram, Facebook, Twitter, and YouTube.
  • Work with event staff to plan and execute all aspects of all social events.
  • Collaborate with the Communications Department with marketing and communication for events.
  • Serve as liaison with Development & Alumni Relations to publicize events.
  • Consistently update website listings for each program.
  • Post information to the Master Calendar; the GW Law App; and other information portals.
  • Provide ongoing publication of information about events with photos and articles including links to program documents and curricular information.
  • Assist with student recruitment efforts as requested.
  • Gather information on competitors’ programs, including degrees, courses, and new “products.”
  • Update listservs of students, alumni, and faculty.
  • Conduct other research for Program Directors as requested.

Performs other duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Preferred Qualifications:
  • An undergraduate degree in international affairs is preferred.
  • Proficient in utilizing Microsoft Office, including Word and Excel, Adobe Acrobat,
    Google Drive, Google Forms, and similar software.
  • Experience in utilizing social media platforms such as Facebook, Twitter, LinkedIn, Instagram, and YouTube, among others.
  • Experience using Zoom, Google Meet, Microsoft Teams, and other virtual communications platforms.
  • Strong administrative, academic, IT, writing, and research skills.
  • Experience and ability with the coordination and organization of events, conferences, symposia, meetings, and other special events is preferred.
  • Enjoys interacting with and helping students, alums, faculty, staff, and visiting scholars.
  • Attentive to details.
  • Ability to be agile, skilled in prioritizing multiple assignments, and to apply project management skills to meet deadlines.
  • Ability to interact with faculty, students, and staff in a team environment.
  • Ability to communicate both orally and in writing to a diverse audience.
Hiring Range $51,455.52 - $70,708.76
