I. JOB OVERVIEW
Job Description Summary:
The Milken Institute School of Public Health Department of Prevention and Community Health (PCH) is concerned with social and behavioral change for the health and well-being of people around the world. The administrative associate is a senior administrative support position that provides enhanced administrative support to the Department of Prevention and Community Health including department leadership and department-based centers.

Primary responsibilities:
  • Responsible for customer service efforts at the front desk and coordinating coverage of the front desk. Referring constituents and resolving concerns as appropriate.
  • Serves as assistant to the department Chair, assisting with scheduling and preparing for meetings and events. Scheduling of the faculty evaluation process.
  • Department contact for research staff, postdoc, temporary wage, and student hires. Liaison between PIs and HR, PostDoc Office, and Student Employment.
  • Maintains and reconciles a purchasing card for departmental, institutional, or work unit/faculty accounts.
  • Serves as a backup in providing academic support to students and connecting them to academic advisors.
  • Assists with department communications including web presence, newsletters, and other communication channels.
  • Assists with training and onboarding of students, summer, and temporary staff to support research projects.
  • Serves as a secondary approver for department timecards in Kronos.
  • Serves as notetaker at faculty/staff meetings and other meetings as needed.
  • Schedules meeting rooms for faculty and staff, including culminating experience presentations. Orders food for meetings as needed.
  • Orders office supplies, computers, and other materials for faculty and staff.
  • Prepares background materials needed, and archives and manualizes department office administration policies, programs, and activities.
  • Plans, prioritizes, and manages maintenance and space activities and upgrades to equipment, facilities, and systems to minimize disruptions.
  • Supports department centers/collaborative research initiatives through various administrative, technical, and logical support to be provided.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Excellent communication, customer service, and organizational skills.
  • Strong time-management skills and ability to prioritize.
  • Proficiency in MS Office, Google Drive, and other software applications is desired.
Hiring Range $26.17 - $34.04
