I. JOB OVERVIEW
Job Description Summary:
The Academic Department Administrative Supervisor addresses all of the academic and non-academic operational and financial needs of the Speech & Hearing Department. This position reports directly to the Speech & Hearing Department Chair, and supports the needs of all full and part-time faculty, as well as graduate and undergraduate students. This includes: budget management, hiring, bi-weekly payroll, accounts payable, supervising students and junior administrative staff, pre- and post-award grants management, course scheduling, Selective Excellence, CCFF/UFF, P-Cards, research services, faculty concerns, student concerns, scholarly travel, facilities, equipment, endowment funds, REIA Funds, keys, technology support, REF, staff leave, terminations, faculty meeting records, UPD admit list & safety, access, sequencing, seminar and REU.

This administrative position manages a team in order to provide enhanced administrative support to an academic department. This position typically interfaces with departmental personnel to coordinate operational activities to ensure adequate manning, space and facilities. This role supervises and coordinates work of designated employees, and will also coordinate purchasing, maintenance and renovation activities for the department, will administer a program of property management and accountability, and will determine fiscal requirements, make projections and prepare departmental budgets. Additional responsibilities include monitoring, verifying and reconciling expenditure of budgeted funds, and preparing financial statements reflecting status of programs and activities, while ensuring compliance with university policies and procedures. This is a management position at the university that, in addition to leading a work unit, leads and supervises staff directly, makes hiring decisions, provides coaching, training and mentoring, manages performance and determines future staffing needs.

Duties and Responsibilities:

● This position will interface with departmental personnel to coordinate operational activities to ensure adequate manning, space and facilities; coordinate purchasing, maintenance and renovation activities for the department; administer a program of property management and accountability; determine fiscal requirements, make projections and prepare departmental budgets; monitor, verify and reconcile expenditure of budgeted funds; prepare financial statements reflecting status of programs and activities: ensure compliance with University policies and procedures.

● Serve as departmental liaison with administrative and professional personnel concerning University policies and procedures, personnel administration, grant administration and budgetary preparation and control. Serves as the contact person for University offices.

● Interview, hire and make salary decisions on support staff the position directly supervises. Disciplinary actions generally require coordination with the Program Director. Make hiring recommendations on other departmental employees. Supervise and coordinate work of designated employees; manage personnel activities to meet University and departmental objectives in training, equal pay, equal employment and wage and salary administration; advise on employment terms of faculty and administration of appointment procedure.

● Represent department head in meetings and conferences and other affairs of an administrative nature. Prepare reports and analyses to include financial reports, setting forth progress, adverse trends and appropriate recommendations or conclusions. Problems encountered in this position may involve the interpretation and application of university policy, federal and state regulations and complex financial data.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a high school diploma/GED plus 4 years of relevant professional experience, or, a Bachelor’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Knowledge of/or Experience using enterprise financial applications, to process expense reporting.
  • Experience tracking financial information using Excel.
Hiring Range $53,912.51 - $78,108.53
