Position Summary:
We have an exciting opportunity to join our team as a Academic Coordinator – Gastroenterology – Mineola.
In this role, the successful candidate under direction coordinates the Fellowship Program and rotations of fellows, medical residents and students. Interacts with Division Chief, Program Director and Academic Affairs.
Job Responsibilities:
- Performs other duties as assigned
- Responsible for the coordination of all aspects of the Fellowship Program (Fellowship Manual, housing, utilities, visas, travel conference expenses, etc.). Processes applications and maintains accurate and current files on each applicant, current fellows and alumni. Coordinates off-site rotations for fellows, residents and medical students as necessary. Oversees and facilitates the interview and selection process for candidates to the fellowship program and elective rotations. Responds to inquiries via the internet, fax, ERAS and telephone.
- Works with managers/physicians to schedule meetings, lectures and conferences. Coordinates outside lectures for attending physicians and fellow. Responsible for booking conference rooms for educational meetings, CME Lectures, Medical Grand Rounds (Advances in Medicine) and Core Lectures including obtaining/coordinating funding and educational grants, honorariums and travel.
- Processes incoming and outgoing mail distributing to the appropriate recipient, orders stationary, business cards and forms for printing.
- Produces weekly PCAs for doctor s non-contracted pay, check requests, travel reimbursement, expenses, and grant account tracking information. Monitors attendance, vacations, etc. Submits purchase requisitions and follows-up as necessary.
- Interfaces with Academic Affairs. Provides administrative support to Fellows. Secures all necessary ACGME documentation. Coordinates evaluations, and annual recruitment. Oversees elective rotations, the integration of the fellow program into the workings of the division.
- Updates and maintains all information on fellows, including procedure logs, schedules, and evaluations in NEW INNOVATIONS program. Prepares and executes various reports and surveys mandated by accrediting agencies and NYU Langone Long Island Academic Affairs Department. Keeps detailed files, evaluations, and reports on current and former fellows. Makes up various lecture and curriculum schedules for fellows. Prepares, updates and distributes schedules, handouts and assignments for fellows, residents and medical students on rotation.
- Responsible for credentialing process of new physicians to staff and reappointments to staff, ensures paperwork is correct and complete. Works with division and voluntary attending physicians.
Minimum Qualifications:
To qualify you must have a Bachelor’s Degree. 3- 5 years In a healthcare setting. Strong communication (both oral and written), interpersonal, organizational, Multitasking, and customer service skills. Intermediate computer skills including MS Office (Outlook, Word, Excel).
Preferred Qualifications:
Knowledge of IDX. Knowledge of Medical Terminology.

NYU Langone Health provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $58,500.00 – $60,338.20 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
