Position Summary:
We have an exciting opportunity to join our team as a Financial Analyst.
The Financial Analyst (FA) serves as a member of Technology Opportunity Ventures (TOV) providing data analysis related to invoicing and payment tracking. Promotes, coordinates and supports the development of projects (gathering, collecting and analysis data). Facilitates the administration process of departmental activities (e.g., Maintaining records, compiling data, monitoring invoice schedules and other related activities). The FA will also assist in the month-end and year-end close process, collaboratively partnering with other finance groups to assist in the preparation and completion of the departments financial statements. The candidate is customer-service oriented and possesses excellent analytical, communication, organizational and interpersonal skills.
Maintains data integrity when manipulating data files for purposes of analysis; running data multiple ways when necessary to ensure accuracy of results; plus all related job duties as assigned. The analyst must balance competing priorities in a dynamic business environment which is often fast-paced.
Job Responsibilities:
Financial Controls and Compliance:
- Perform work within the established goals and objectives of the Department:
- Submits and monitors invoice submission in a timely manner for vendors
- Generates and submits invoices to licenses for patent expense reimbursements
- Communicates and diligently follows up on outstanding items
- Performs ad-hoc analysis to support the decisions making process
- Escalates issues following standard financial protocols
- Responsible for maintaining accurate records of invoices received and processed in Sophia
- Maintains and ensures integrity of relevant financial data in Sophia
- Develop a working relationship with the external customers (such as vendors, NYU Washington Square to ensure billing accuracy over invoicing process
- Monthly financial close is accurate and timely
Position Specific:
- Process and maintain patent expense requests for payment for NYU Grossman School of Medicine and Washington Square
- Reconcile law firm statement of accounts monthly
- Invoice licensees for patent expense reimbursements
- Follow up and payment collection for outstanding patent expense reimbursements
- Data recording and analysis, be able to identify the existing and potential data integrity issues, and implement appropriate solutions
- Responsible for research, follow-up and resolution of licensee/vendor inquiries on any payments and/or balances related to Patent expense and reimbursements
- Coordinate the onboarding of new vendor registrations in PaymentWorks
Planning, Organizing, Collaborating and Decision Making
- Performs within plan, established priorities and across multiple functional areas.

- Contributes meaningfully to developing solutions and independently completes assigned work in a timely manner.

- Contributes to team effort by cross-training colleagues to prevent work interruptions in the event of an absence.
- Coordinates inter-departmentally to resolve discrepancies on vendor accounts.
- Concurrently performs multiple assignments.
Monitoring, Quality Control, Reporting and Record Keeping
- Maintains an accessible electronic final copy of invoicing in Sophia.
- Identifies areas of improvement for current processes and provides recommendations.
- Performs ad-hoc analysis and duties as needed by management and assist in creating and developing other modeling tools to aid in operational efficiencies.
- Gathers and collects data from different parties and presents findings as applicable.
Quality Control (Improving Business Processes
- Follows and updates (when necessary) all SOPs and Job Aids in performing their day to data responsibilities including cross-training for staff.
- Exceptions are managed and resolved. Root cause analyses are preformed when appropriate.

Minimum Qualifications:
To qualify you must have a Bachelors degree and 1-3 years relevant work experience or an equivalent combination.
Superior communication skills, both written and verbal.
Possess strong customer service and problem solving skill sets.
Preferred Qualifications:
Bachelors degree in business, finance or other appropriate discipline with at least 1-2 years of relevant financial, accounting and contracts management experience, or a combination of comparable education and experience. The Financial Analyst must also have an understanding of general business fundamentals and basic accounting principles. Experience with Enterprise Systems, basic Excel knowledge, PeopleSoft Financials and Wellspring Sophia preferred.
Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $62,400.00 – $68,900.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
