Position Summary:
We have an exciting opportunity to join our team as a Nursing Office Assistant.
In this role, the successful candidate Performs clerical functions related to Staffing and the Nursing Office. Assures appropriate staffing on a daily basis. Functions in a dynamic environment which requires, customer service and clerical skills. Duties may vary depending on the needs of Nursing Office and/or services.
Job Responsibilities:
- Participates in planning for weekly and daily staffing for all Clinical Divisions
- Performs other duties as assigned aligned with the mission and values of the organization
- Completes tasks within scheduled hours of work and within specified time frames
- Accepts directions from managerial staff willingly; accepts changes in assignment willingly
- Communicates effectively, efficiently, and courteously with patient, families, staff, and other members of the health care team. Assists visitors and employees in a cooperative manner.
- Assists with clerical functions in the Nursing Office.
- Prepares companion list, calls for coverage and transcribes to staffing boards.
- Assists with validation of temporary agency invoices
- Records sick calls in logbook, schedules and staffing sheets, notifies unit and manager.
- Prepares and distributes scheduling Plan Sheets, updates data and generates schedules and work sheets
- Works closely with Director of Nursing Administrative Services assuring accuracy of agency/overtime order, proper voucher and sign-in records, and notification of sick calls.
- Prepares overtime availability sheets and confirms based on staffing guidelines or manager request.
- Updates Mytime regularly and print standard reports as requested, e.g. turn over analysis, terminations, new hires and transfers.
- Updates daily patient Mytime report sheet and distributes appropriately
- Works proficiently with Mytime software application
- Enters agency shift into Mytime scheduling system for each unit daily and generates bi weekly management reports as needed.
- Organizes and maintains Mytime database and/or manual files.
- Calls in supplemental staff as indicated by staffing guidelines. Works collaboratively with nurse managers/supervisors to assure adequate staffing.
Minimum Qualifications:
To qualify you must have a High School Diploma Required
Microsoft Office skills, 1 year office experience
Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $20.51 – $23.92 Hourly. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
