Duties Description The incumbent of this position will perform duties consistent with the Civil Service Classification Standard for this title in the Transportation Maintenance Residency Office. As such, the selected candidate will process transactions, maintain records, documents, and information, and produce correspondence, reports, charts, etc. The incumbent must be able to read, understand and apply procedures, rules, regulations and law. The duties include but are not limited to: sorting and distributing mail; maintaining records and files; answering phone and appropriately responding to or referring inquiries made by employees, vendors and customers; providing assistance to the Transportation Office Assistant in the administration of the Residency Program, which may include Personnel and Purchasing activities, such as hiring and promoting employees, and employee orientation, assisting with ordering supplies, purchase orders, and vouchers, tracking and entering TRINFO data, and reviewing employees’ time in MMS, ensuring flex time, overtime, recalls, meal allowance and leave times are all correct, and sending approved MMS records to the Leave and Accrual Tracking System. Preferred candidates will possess excellent written and oral communication skills, as well as proficiency in computer programs such as Microsoft Word, Excel, PowerPoint, and Outlook.
Responsibilities may include serving a role within the Incident Command System to support the department's response to regional and statewide emergency situations.
Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).*
To be considered for appointment through NY HELPS, or 55 b/c, candidates must meet the open-competitive minimum qualifications for this position. The qualifications are: must be able to type at the rate of 30 words per minute, with at least 96% accuracy. Unless waived in accordance with Civil Service procedures, a typing performance test will be administered prior to appointment.
Candidates may also be qualified for permanent competitive appointment if reachable from the appropriate Civil Service eligible list or eligible for reassignment or transfer in accordance with Civil Service Law.
There are no minimum education or experience requirements for this title. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.
Additional Comments *This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.
