For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

Minimum Qualifications for applicants not currently civil service eligible for the title:

Administrative Assistant Trainee 1 – Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training at the Trainee 1, you will automatically advance to Trainee 2.

Administrative Assistant Trainee 2 – One year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training as a Trainee 2 you will advance to the full level of this title without further examination.

Administrative Assistant 1 – Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. Certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.

Duties Description This position acts as a general information source regarding the Center for Student Involvement operations, programs, policies and procedures over the phone, in writing, or in person. They are responsible for informing students, the community, and faculty/staff of relevant information and/or referring them to the appropriate office for assistance when necessary. Often the first point of contact for the Center, this position will also be responsible for creating a positive impression and having a customer-centered service approach at all times, while also completing required tasks in a timely manner. We are part of the Enrollment and Student Success division which supports a student’s entire collegiate experience from the point of admission through to graduation. We partner with students, faculty and staff to provide a network of opportunities and services that lead to student success. Collectively, the division of Enrollment and Student Success positively influences the health, safety and well-being of the student body. This position is expected to work Monday-Friday, 8:00a.m – 4:00p.m.

This position will provide support for all administrative responsibilities of the Center which are expected to include, but not be limited to, effectively managing the office traffic flow via phone, email and/or walk in; coordinating the event registration process for student groups, including fundraising and Student Digest approval; scheduling Angell College Center facilities and services for faculty, staff, students, Student Association groups, fraternities/sororities, and outside agencies; overseeing Angell College Center Information Desk staffing and facility upkeep; and ensuring proper inventory of supplies and that office equipment is properly functioning. Preparation of financial documents and assisting with travel arrangements is also included. Important Notes for those appointed as a Trainee:
Successful completion of the traineeship requires taking eight courses in the following competencies: Professionalism and Self-Management, Verbal and Written Communication, Interpersonal and Customer Relations, and Computer Skills and Technology. It must include instruction in each of the following topics: office organization and management; business writing; customer service; and Microsoft Word basics.
