What this job involves:

  • To assist in the comprehensive facilities management and customer service on the Client Account.
  • Delivery of services in accordance with the Management Agreement Facilities SOW’s, SLA and KPI’s.
  • Support the Facilities Team in the implementation of key initiatives and projects.

What your day-to-day will look like:

Facilities Operations

  • Oversees day-to-day operations of the site
  • Support services to ensure a smooth, safe, and efficient environment for all site occupants
  • Ensure service quality across the facility
  • Address operational issues, and work to optimize efficiency and effectiveness across all managed facilities
  • Oversee non-technical amenities and services
  • Manage areas like reception, meeting room booking and set up support, cleaning, pantry service, office supply, event support, indoor plants, catering and waste management.
  • Maintain a comfortable and functional site environment

Vendor Management

  • Assist in the management of contractors on site ensuring they perform to the required standards
  • Understand the Service Level Agreement of Janitorial Services, and review it in need
  • Daily inspection per request
  • Direct the vender to compliance the procedures, SOW and SLA
  • Have a meeting with vender leader/manager monthly
  • Review the vender performance quarterly
  • Periodical report to clients

Risk Management

  • Assist in the implementation and management of a property risk management program
  • Follow established escalation procedures and incident reporting procedures

Customer Service / Client Relationships:

  • Provide superior customer service
  • Ensure feedback from client sessions is recorded and actioned to the satisfaction of the end user.
  • Pro-actively manage clients’ expectations ensuring that the service levels are maintained.

Reporting:

  • Assist in the budgeting process as required
  • Provide input as required into the Report
  • Active involvement in the monitoring and achieving the required Key Performance Indicators

Leadership / Staff Management:

  • Actively supports teamwork, co-operation & performance excellence within the onsite team

Desired or preferred experience and technical skills:

  • At least three years or above of work experience related to IFM or customer service.
  • Good interpersonal skills with a focus on customer needs.
  • Excellent communication, coordination and organizational skills.
  • Ability to understand technical concepts, and experience with performance-based service contracts and vendor management, including soft and hard service.
  • Independent and proactive.
  • Strong problem-solving abilities.
  • Demonstrates positive initiative.
  • Good adaptability.

Required Skills and Experience:

  • Bachelor's degree is preferred
  • Strong written and verbal communication skills in English and Chinese.
  • Familiar and able to operate the Word, Excel and Power Point.
