Facility Manager will be responsible for managing all aspects of the facility
management service delivery system on the client project for 2 sites in Thailand – BKK Office & CDC Warehouse. In this capacity, the FM is accountable for the
achievement of the Management Plan and all key performance indicators
including, short and long-term projects, operations and maintenance.
The Facility Manager will lead a team to manage the day-to-day client activities
for the assigned facility and be the on-site key point of contact for key
stakeholders and/or client. The role will assume overall responsibility for
budgets, accounting and finance, maintenance and operations, contract services, purchasing of material, equipment & supplies, occupancy services, project and helpdesk.
The role will require someone who’s able to manage a challenging client
stakeholder and is able to build an effective working relationship with them. The
successful person will need to have an abundance of mental toughness and
perseverance.
Providing onsite support
o Facilities Manager in the day-to-day operations
o Manage all soft services – cleaning, indoor plants, pest control, pantry supplies etc for PM & RM activities
o Manage all hard services (Fire Alarm System, HVAC, Security System, Access Control, AV system, CCTV, equipment calibration) for PM & RM activities
o Assists in maintaining clean, safe & secure working environment via supervision of pantry and meeting room cleanliness;
o Report and follow up on building management issues when required
o Manage Corrigo WO work process – acknowledgement & closure
o Assign seat for new hire, locker in the absence of Facility Manager
o Ensure tasks assigned by FM is properly carried Support client’s event ie. Town Hall, Fire Drill, including setup requirement
o Assist in building power down maintenance
o Provide coverage at Reception when required (Out for Lunch, Urgent leave & etc)
o Facilities Manager in implementing cost savings and process improvement strategies.
o Prepare / provide input to the local monthly reports & administration requirements
o After hours on site support when required including Public Holiday/off days to support the team
Client/Stakeholder Management
o Ensure that a high level of professionalism and customer service are maintained at all times
o Superior customer service to meet on-site client’s expectations
o Build and develop effective client / stakeholder relationships across multiple levels of the organisation
o Ensure any faults or defects are recorded and reported to ensure an outstanding client experience is maintained
Procurement & Vendor Management
o Ensure that all stationery, catering and supplies are maintained and tracked in office/pantry supplies tracker
o Manage all office/pantry supplies
o Manage the induction of all contractors on site to ensure they perform to the required standards when required
o Responsible on procurement of vendors and services.
Finance & Operations Management
o Vendor invoice end-to-end process. (POR, stamp, scan, GR, invoice submission, payment)
o Prepare monthly financial accruals
o Verification and approval of invoices @ Corrigo System & JDE System
o Ensure prompt and accurate management of purchase orders in the JLL financial system, as required
Risk Management
o Assist in the implementation and management of the property risk management program
o Follow established escalation procedures and incident reporting procedures
o Adhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies
