We are currently seeking an Operations Assistant Manager well-versed in internal operations work with interest in commercial real estate to join our Project and Development Services team. Previous experience or expertise in any of the following areas is preferred: invoicing, expenses, finances, office operations.
What this job involves:
Assisting the Manager with operational issues
Promptly answering the questions of team members and other stakeholders
Chop application, preparing and filing contracts and other documents
Assisting with onboarding processes
Taking inventory and ordering office supplies as needed
Updating logs and trackers
Accurate tracking and obtaining monthly payment confirmation and supporting documentation for invoice processing and timely submission across active projects
Accurate and timely issue of purchase orders per project need
Raising discrepancies in payment numbers for clarification
Collect and check accuracy of expenses and supporting documentation to process per company policy
Demonstrate a proactive focus on meeting internal, client, and project requirements in a timely and cost-effective manner, ensuring monthly finance deadlines are coordinated and met
Coordinate with project managers for accurate monthly fee forecasting and tracking/verifying actual payments in company digital platform
Obtaining necessary approvals to meet monthly finance deadlines for payment and expense application
Tracking Client payments according to payment terms and following up with project managers on delayed payments
Project and payment setup
Demonstrate proficiency in the use and application of all PDS technology and any Client technology as required
Participate in training and developing JLL team members in the skills and understanding of firm and client procedures, methodology and practices expected for a successful project implementation.
Comply with all JLL policies and procedures, including but not limited to ethics and business practice.
Excellent file and document management with organization and logic
Internal point of contact for the team
Preparing applications physically and via digital platforms with accuracy per project schedule and need
Simple administrative support on-site

3-5 years of relevant experience is required
Ability to prepare and track budgets
Highly organized with strong analytical skills
Strong interpersonal skills with an ability to interact with executive level external and internal clients
Organizational skills with the ability to identify and manage priorities
Excellent written and verbal communication skills
Detail oriented
Ability to multi-task and work both in a team and independently
Proficiency with Microsoft Office Suite
Willingness to learn and use digital platforms
Eagerness to assist and support the team
Proactive and takes instruction well
