Technical Facilities Coordinator
Work Dynamics - Integrated Facilities Management
Duties & Responsibilities
Site Management
Manage the delivery of the facilities management services to the client’s facilities under Jones Lang LaSalle’s management.
Implement facilities management operational procedures and performance measures to ensure simplification and accuracy of work methods and reliability of systems.
Liaise regularly with FM and client on facilities management issues.
Implement Jones Lang LaSalle initiatives such as the Compliance Review, Continuous Improvement Work Group programs, Regional Training programs and other initiatives as appropriate.
Drive client specific initiatives such as savings targets, best practices etc.
Ensure the maintenance and upkeep of the facilities.
Backup reception desk and reception duties when required.
Manage vendors: Hard & Soft services
Data Management, Policies & Procedures & Audit: Ensure data integrity of all systems and audit/review and analyze data from time to time.
Ensure functionality of office equipment & furniture.
Monitor environment of critical rooms.
Perform maintenance of office equipment.
Ensure consistency of procedures with established standards and support continuous updating as required.
Support events & meeting rooms’ setups: Liaise with stakeholders & vendors.
Conduct daily site inspection and submit monthly reports.
Ad hoc task as assigned by FM.
Financial Management
Manage budgets in conjunction with the regional finance team, and in accordance with client policy and practice. Ensure that services are managed to budget.
Ensure that expenditure is regularly reviewed and checked to demonstrate value and identify alternative, cost effective means of delivery.
Ensure efficient and economic operation of assigned responsibilities.
Customer Service / Client Relationships
Pro-actively develop and manage client/business unit relationships ensuring that the expected service levels are achieved.
Reporting
Ensure and complete periodic reporting to meet client expectations and internal requirements.
Submit a monthly management report Review and report against agreed SLA and KPIs.
Qualifications
Minimum 5 years of relevant experience in facilities management, property management, facilities engineering, or related field.
Good budget management.
Knowledge on Microsoft service suites.
Excellent written and verbal communication skills.
Facilities Management Diploma Holder or its equivalent
Experience in hard services is required.
