What this job involves:
We are looking for an Executive Assistant to support our Managing Director of ACT/Head of Capital Markets ACT, based in our Canberra office. In this role, you will provide high level executive support and assistance, whilst ensuring efficient management of the firm and day-to-day operations.
A snapshot of the role:
- Full support to the MD in an administrative capacity, including email/diary/file management, travel and meeting arrangements and other required tasks
- Screen and attend to a broad range of confidential and sensitive enquiries
- Administer, proofread and draft correspondence, reports, presentations and meeting documentation
- Preparing and distributing agendas, attending various meetings with MD and taking and distributing minutes/actions for meetings as required
- Use discretion in the MD’s absence to refer urgent matters to the appropriate person and inform the MD of any important developments
- Sale campaign coordination - preparation and execution of confidential files, support preparation of documents including pitch and marketing materials and campaign records
- Undertake routine payment and reconciliation of incoming invoices, expenses and credit card statements
- Coordinate client functions, events and team meetings as required
- Facilitate connectivity between ‘One JLL’

- Ability to take on true executive assistant-style challenges and tasks, which would involve quick thinking, problem solving and influencing both internally and externally
- Be highly organised and can manage competing demands and changing priorities within stringent timelines
- Awareness and ability to hand highly sensitive information with confidentiality and discretion
- Proven ability to deal with multiple stakeholders (internal or external)
- Advanced skills in Microsoft Office Suite
- Highly developed communication (written and verbal) and interpersonal skills
- Minimum 5 years experience as an Executive Assistant or similar administrative role, an added plus would be experience within a commercial real estate, financial services, professional services or legal environment
