Job Scope and Responsibilities
Overview: The APM will be responsible for providing comprehensive and proactive support to the Regional Project and Engineering teams. This includes managing various project-related tasks, coordinating with different teams, and ensuring efficient project operations.
Responsibilities:
Development Support: Assist with legal reviews, business approvals, and Project Funding Requests (PFR) and manage and track milestones and project processes. Financial Administration: Facilitate and liaise with Finance and Project Control teams for purchase order and invoice management. Status and Tracker Management: Maintain and update the Data Centre Delivery and Engineering tracker. Calendar Management: Manage schedules and ensure availability of all attendees for meetings. Remote Project Management: Be adept at overseeing and managing project teams geographically dispersed in APAC. Document Management: Update, refresh and upkeep of necessary documents and ensure smooth navigation using Document Control Software tools. Coordination and Travel Support: Support the coordination of in-person reviews for Campus planning and other projects, including travel arrangements and scheduling. Meeting Support: Take meeting minutes and record action items for weekly syncs with the Regional Program Manager (RPM). Substation Equipment Management: Oversee the management of long lead equipment (LLE) for substation programs. Vendor Onboarding: Assist with document control and onboarding procedures for vendors in the substation program. Onboarding Support: Assist in the onboarding of new hires into the Team, including adding them to recurring meetings, the Data Centre Rotations Program (DCRP) calendar, website updates, and distributing mission and vision documents. Presentation Development: Create and deliver presentations as required. Ensure Consistency and Efficiency:
Maintain consistent meeting formats, agendas, standard documents, presentations, checklists, and formatting across the Services team.
Facilitate onboarding of new team members through initial IDAP and Tech stages.
Manage monthly communications and newsletter for the team.
Collate and distribute bi-weekly status reports.
Document and optimize team tools and processes, including BIM360, Project Management Tool (PMT), and One Drive.
Control and maintain team brand and templates.
Assist in planning and executing team summits and workshops.
Maintain team program documents such as team directory, team calendar, and team alias groups.
Requirements:
- Bachelor's degree in a relevant field (preferred)
- Previous experience in Real Estate, Construction and/or Engineering Projects in a similar role
- Strong organizational and time management skills
- Excellent communication and interpersonal skills
- Attention to detail and ability to multitask
- Understanding of project management principles
- Ability to work independently and in a team environment
- Flexibility to handle multiple projects and changing priorities
- Experience in the technology or construction industry (preferred)
- Proficient in MS Office / Google Suite and other Project Collaboration tools

Education and experience:
- What we’re looking for is a candidate with at least 5 years’ experience in an assistant or facilities coordination role.
- You will be able to manage multiple parties, vendors, stakeholders and priorities with various milestones.
- Fluent in written and spoken English
- Excellent communication skills, with experience in remote management
- You will be detailed orientated and organized in your approach to project management.
Requirements:
- Bachelor Degree from an accredited institution. Preference towards a Degree in Real Estate, Engineering, or Projects / Construction Management.
- Ability to regularly communicate analyzed data to client and team to achieve project goals
- Highly organized with strong analytical skills.
- Strong interpersonal skills with an ability to interact with clients as well as external team members (architects, contractors, client’s representatives, etc.).
- Ability to manage and coordinate all aspects of construction projects effectively and efficiently including, but not limited to budgeting, scheduling, submittals, change orders.
- Has been part of a team responsible for large / complex projects or programs previously.
