What this job involves –

We're seeking a friendly and professional individual to join our team as a part-time on-site receptionist. In this role, you'll be the welcoming face of our company, greeting visitors and managing front desk operations at our office location.

Your day to day:

Key Responsibilities

Welcome visitors, clients, and guests to the office with a professional and friendly demeanor Ensure building specific access processes and policies are followed Manage incoming phone calls, directing them to appropriate staff members Maintain a clean and organized reception area Schedule in-person meetings and manage conference room bookings Assist with basic administrative tasks such as data entry and document preparation Ensure security protocols are followed, including visitor sign-in procedures Provide general information about the company to visitors as needed Service and maintain the coffee area, ensuring it's clean and well-stocked Fulfill mail clerk responsibilities, including:

  • Receive incoming accountable deliveries (e.g., Fed Ex, UPS etc.)
  • Facilitate the distribution of mail to the proper department, locations and customers
  • Arrange for local courier pick-ups, as requested

Perform various administrative projects as requested, including, but not limited to:

  • Stuffing envelopes
  • Data entry
  • Maintaining attendance records
  • Other related office support duties

Act as ambassador for Client & JLL, always using appropriate etiquette and professionalism Maintain and distribute location phone lists Maintain off-hour recording system and ability to forward calls to security or other designated entity. Other duties as assigned

Qualifications

  • Previous experience in a receptionist or front desk role preferred
  • Excellent interpersonal and communication skills
  • Proficiency in using office equipment and software (e.g., multi-line phone systems, Microsoft Office suite)
  • Ability to multitask and prioritize in a busy office environment
  • Professional appearance and positive attitude
  • Strong attention to detail and organizational skills
  • Demonstrated proficiency with all applicable software packages, including MS Windows and MS Office
  • Ability to collect data, keep accurate records, and prepare reports
  • Ability to work well independently and collaboratively with others
  • Flexibility to adapt to schedule changes and occasional overtime requests

Hours: 20-25 hours per week, during regular business hours

  • Onsite at our office location
  • Professional business attire required
  • Fast-paced, dynamic work setting
