What this job involves
The role is part of a JLL team working closely with one of our most dynamic & fast-growing Clients from the E-commerce industry. As part of a Design and Construction team, analysts support project managers and operations managers on design and construction projects, project vendor management and daily activities including data collection/ analysis, tool/data repository/knowledge database repository maintenance, data quality checks and audits.
This role will report to Operations Specialist/ Senior Analyst.
As part of a Design and Construction team, the Operations Analyst is responsible for data collection and management in a consistent and standardized manner though +300 projects per year worldwide.
What this job involves/ Responsibilities
- Core data processing and oversight, responding to requests and queries relating to new and existing data;
- Create / Maintain / improve / automate reports to show project status, team resourcing and other data sets
- Support continuous improvement initiatives and master data governance;
- Manage our internal databases, support regional teams on alignment of processes and cost data collection;
- Gather and analyze global benchmarking data to help strategic decisions based on costs and benefits;
- Review actual project costs and create/update cost benchmarking tools;
- Ensure that cost information, vendor invoices and contracts are incorporated into systems, and world class cost reporting;
- Support regional teams on alignment of processes and cost data collection, coordinate and challenge data inputters to drive accuracy of information;
- Ensuring that all accruals are recorded accurately to timetable on a monthly basis; reconcile invoiced costs vs. forecasted accruals;
- Development, maintenance and improvement of the tools, dashboards, spreadsheets and Clarizen used by the Design and Construction team
- Collation and tracking of both YTD program and project-specific KPI performance data
- Maintain procedural documents related to project closeout and gather documentation from project vendors in alignment with process documents. File documentation with appropriate client stakeholders
- Assist project management team with vendor selection and onboarding. Responsible for getting vendors access to client buildings for project work as needed
- Meet regularly with project managers to ensure data quality across all platforms

Experience
- Previous working experience in a similar position 2-3 years
- Bachelor’s degree, ideally in Engineering, Maths or Statistics with a strong data analyst skillset.
- Working in a complex multidisciplinary team of stakeholders across region.
Skills
- Strong written and verbal English language skills
- Proficiency with MS Office applications, particularly Excel and ability to learn/use other systems
- Solid IT skills in Business Information tools an advantage (PowerBi, Visual Basic, Power Pivot and Database Management)
- Strong communication skills with the ability to explain issues and present complex information clearly, concisely and consistently.
- Ability to manage multiple work assignments simultaneously, manage multiple or conflicting priorities, and handle a high-pressure working environment
- Candidate must demonstrate personal commitment with high velocity and speed of response and a proactive, 'can- do' attitude
- Self-motivated, thorough, reactive, customer focused
- Continuous improvement mind set
