Key Responsibilities:

Client Relationship Management:

  • Collaborate with Account Managers to support top-tier global client accounts
  • Efficiently manage and relay client feedback to relevant stakeholders
  • Ensure effective two-way communication between clients and internal teams

Portfolio Coordination and Management:

  • Oversee end-to-end coordination of real estate portfolios across multiple European countries
  • Support country valuers with portfolio clarifications and address client or stakeholder queries
  • Initiate and maintain portfolio setup, including updating templates, compiling contact lists, and tracking property information

Stakeholder Management:

  • Serve as the primary point of contact for all portfolio team members and stakeholders
  • Interface with Account Managers, Global and Local Valuers, Client Leads, Sector Leads, and Modelers
  • Coordinate stakeholder calendars, schedule meetings, and set deadline reminders

Project Management:

  • Implement and manage timelines using SmartSheets
  • Ensure timely delivery from all teams and meticulously document any delays
  • Conduct proactive follow-ups and issue timely reminders to stakeholders across Europe

Data Management and Reporting:

  • Facilitate efficient distribution and thorough review of client data
  • Compile and prepare consolidated value reports for client submission
  • Generate and update diverse report formats, including Summary Tables, Anaplan Reports, and Valuation Overviews
  • Coordinate signature processes with JLL Directors and clients using Adobe Sign

Technical Operations:

  • Maintain proficiency in MS Excel, MS Word, and portfolio-specific tools (e.g., Argus, AVI Platform, ANAPLAN, BOX)
  • Review and extract information from Argus Enterprise (for authorized PMS account holders)
  • Administer client folders across various platforms (AVI, MS Exchange, BOX Drive)
  • Update property information on CRM tools such as PIX Workflow, CapForce, and STREAM

Quality Control and Risk Management:

  • Assume full responsibility for the quality of work, often presented directly to senior management and clients
  • Conduct quarterly best practice reviews to enhance portfolio management

Strategic Input and Problem Solving:

  • Provide valuable insights to improve portfolio management processes
  • Utilize critical thinking skills to resolve issues within tight timeframes

Qualifications:

  • 3+ years of experience in real estate portfolio management or similar role but not required
  • Strong project management skills with ability to manage multiple projects simultaneously
  • Excellent communication and interpersonal skills
  • Advanced proficiency in MS Office suite, particularly Excel
  • Experience with real estate-specific software (e.g., Argus, ANAPLAN) preferred but not required
  • Strong attention to detail and ability to work under pressure
  • Fluency in English; additional European languages are a plus
