Facilities Finance CAPEX / OPEX Coordinator

Job Summary

We are seeking a detail-oriented and analytical Facilities Finance CAPEX and OPEX Coordinator to join our team. In this role, you will be responsible for managing and coordinating the financial aspects of our facilities operations, with a focus on capital expenditures (CAPEX) and operational expenditures (OPEX). You will work closely with various departments to ensure efficient budget management, cost control, and financial reporting for all facilities-related projects and operations across our international real estate portfolio.

Key Responsibilities:

CAPEX Management:

  • Coordinate and track all capital expenditure projects related to facilities
  • Prepare and maintain CAPEX budgets, forecasts, and long-term financial plans
  • Analyze CAPEX proposals and assist in prioritizing projects based on financial impact and strategic importance
  • Monitor CAPEX spending against budgets and provide regular status updates to management

OPEX Management:

  • Oversee operational expenditures for facilities, including maintenance, utilities, and other recurring costs
  • Develop and maintain OPEX budgets and forecasts
  • Identify cost-saving opportunities and implement strategies to optimize operational expenses
  • Monitor OPEX spending against budgets and analyze variances

Financial Analysis and Reporting:

  • Prepare monthly, quarterly, and annual financial reports for facilities operations
  • Conduct cost-benefit analyses for proposed projects and initiatives
  • Develop and maintain key performance indicators (KPIs) for facilities financial performance
  • Create and present financial dashboards and reports to senior management

Process Improvement:

  • Identify and implement process improvements to enhance financial efficiency and accuracy
  • Develop and maintain standard operating procedures for facilities finance processes
  • Collaborate with Programs Team to optimize financial systems and tools used in facilities management

Cross-functional Collaboration:

  • Work closely with Facilities Management, Operations, Procurement, and other departments to ensure alignment on financial objectives
  • Coordinate with Project Managers to track and report on project financials
  • Liaise with external vendors and contractors on financial matters related to facilities projects

Compliance and Risk Management:

  • Ensure compliance with company policies, accounting standards, and relevant regulations
  • Assist in internal and external audits related to facilities finance
  • Identify and mitigate financial risks associated with facilities operations and projects

Purchase Order Management:

  • Raise purchase order requisitions as required by the facilities project team
  • Ensure proper documentation and approval processes are followed for all purchase orders
  • Track and reconcile purchase orders with invoices and project budgets

Operational Support:

  • Support facilities operations, facilities tech services, and facilities project teams on day-to-day finance queries
  • Address issues related to the delivery, maintenance, and operation of the international real estate portfolio
  • Provide financial guidance and insights to help optimize facilities management across various locations

Qualifications:

  • Bachelor's degree in Finance, Accounting, Business Administration, or related field
  • 3-5 years of experience in financial analysis, preferably in facilities management or a related industry
  • Strong proficiency in Microsoft Excel and financial management software
  • Knowledge of CAPEX and OPEX principles and best practices
  • Excellent analytical and problem-solving skills
  • Strong attention to detail and ability to manage multiple projects simultaneously
  • Effective communication and interpersonal skills
  • Experience with facilities management systems is a plus
  • Familiarity with international real estate operations and financial regulations is preferred
