JLL is seeking an exceptional Senior Property Manager (SPM) to oversee our expanding retail portfolio in the thriving Vancouver market. This role offers the unique opportunity to manage three diverse shopping complexes, including a vibrant open-air centre, each presenting its own set of challenges and opportunities.
As a seasoned property management professional, you'll be at the helm of daily operations, fostering robust relationships with tenants and vendors alike. Your technical acumen and superior customer service skills will be instrumental in crafting tailored solutions and forward-thinking strategies for individual properties and the portfolio as a whole.
This position offers the flexibility of remote work, balanced with regular on-site inspections and visits, ensuring you stay connected to the properties you'll be shaping and elevating. This requires a valid driver's license and access to a reliable vehicle. You will be reimbursed for mileage.
WHAT YOU’LL BE DOING:
- Maintain communications for all tenant related issues. Attend to tenant requests and complaints promptly and in accordance with company standards and procedures. Provide superior service to tenants in the complex relating to comfort control, security, access control, cleaning, etc.
- Manage, coach and mentor building operations staff and administrative staff.
- Make recommendations and oversee execution of preventative maintenance program for plant and equipment; assists with implementation of improvements.
- Review prices, monitor maintenance/service contracts to ensure cost effective operations.
- Implement processes, systems and best practices for the portfolio that will maximize net income and work in collaboration with leasing to ensure optimal occupancy of the properties.
- Ensure that all vacant space at the property is always in a marketable and ready state at all times so that the tenants can move into the property in the shortest possible time contributing to increased occupancy rates and revenue.
- Conduct daily inspection of the property and take appropriate action to make sure maintenance standards set are either met or exceeded.
- Prepare the annual operating budgets, track variance and ensure adherence to approved budget.
- Prepare monthly and quarterly ownership reports.
- Understand the portfolio's financial performance relative to owner's goals and objectives.
- Monitor gross sales reports for retail properties and coordinate tenant sales audits
- Ensure that all administrative tasks (i.e. reports for damage and liability, procedures, rules and regulations for security, emergency and maintenance and tenant information packages are available and current at all times).
- Authorize purchase requisitions within authorized limits.
- Monitor collection of rental payments, recoveries, gross sales participation, operating cost escalations, etc. as specified in leases. Undertake arrears collection, assists with eviction proceedings, liaise with lawyers, collection agencies etc. to ensure proper collection of account receivables.
- Conduct parking surveys, compile the findings and make recommendations.
- Ensure capital projects undertaken for Tenant improvements at the portfolio are completed per established standards, within allocated budget and set time frames.
- Ensure the efficient and safe operation of security and access control systems and processes at the property providing tenants the much needed peace of mind of working / living at the property.
- Maintain up-to-date industry information on operational excellence, changes in legislations and regulations affecting asset management and ensure property/ties are managed to maximize value and minimize risks.
- Partner with marketing and leasing teams to assist in leasing efforts.
- Assist in the development and implementation of strategies and marketing initiatives to support Managing Director.
- Perform other property management tasks that may be assigned from time to time.
WHAT YOU BRING:
- 8+ years’ experience in progressive commercial property management roles including experience as a Property Manager
- Industry related certification i.e. Real Property Administrator (RPA) or Certified Property Manager (CPM) is required.
- Demonstrated leadership skills and an ability to understand and align performance with the overall strategy of a portfolio
- Knowledge of HVAC and building systems, construction process and ability to read mechanical drawings required.
- Working knowledge of MS Office and Budgeting software as well as Yardi and MRI
- Excellent interpersonal and relationship building skills.
- Superior flexibility in the face of ambiguous situations, shifting demands and challenging work environments.
- Strong skills to mentor, coach and train staff. Acts a role model in team work, seeking ways to improve team dynamics/ effectiveness.
- Excellent verbal and written communication skills.
- Excellent problem solving and analytical skills in solving complex and new problems requiring in-depth analysis and evaluation.
