What this job involves

We are seeking a skilled and versatile Assistant Facilities Manager to join our team. The ideal candidate will be responsible for overseeing a wide range of workplace and management services to ensure smooth operations of client’s facilities. What your day-to-day will involve:

  • Cleaning Service: Supervise cleaning staff to maintain a hygienic and presentable workplace environment for employees and visitors.
  • Epidemic Prevention Service: Implement and maintain health and safety measures to prevent the spread of infectious diseases in the workplace.
  • Security Service: Oversee security personnel, access control systems, and safety protocols to ensure the protection of people, property, and assets.
  • Parking Service: Manage parking facilities, allocate spaces, and ensure smooth traffic flow for employees and visitors to the premises.
  • Pantry Service: Manage kitchen areas, ensure cleanliness, stock supplies, and maintain appliances for employee use and comfort.
  • Event Service: Plan, organize, and execute company events, from small gatherings to large-scale functions, ensuring smooth logistics and positive experiences.
  • Maintenance and Repairing: Coordinate routine maintenance and repairs of building systems, equipment, and facilities to ensure optimal functionality.
  • Catering Service: Arrange and oversee food and beverage services for meetings, events, and daily employee needs as required.
  • Apartment Rental Mgt Service: Manage company-owned or leased apartments, including maintenance, and financial aspects of rental properties.
  • Stationery Service: Manage office supply inventory, procurement
  • Pest Control: Schedule and oversee pest control services to maintain a hygienic and comfortable work environment free from infestations.
  • Workplace Service: Oversee all aspects of workplace management to create a productive, comfortable, and efficient environment for employees.
  • Planned Preventive Maintenance: Schedule and oversee regular maintenance activities to prevent equipment breakdowns and extend the life of facilities.
  • FM Project: Manage facilities-related projects, from planning and budgeting to execution and evaluation, to improve workplace efficiency and functionality.
  • Waste Management: Develop and implement strategies for proper waste disposal, recycling, and reduction to minimize environmental impact.
  • Apartment/Car Rental Mgt Service: Oversee the management of company-provided apartments and vehicles, including maintenance, bookings, and administrative tasks.
  • Emergency Response: Comply the procedure for various emergency situations, ensuring quick and effective responses per both JLL and client’s policy and procedure.
  • Incident Report: Document and analyze workplace incidents, accidents, or near-misses to improve safety measures and prevent future occurrences.
  • Payment Verification: Review and verify payments related to facilities management services, ensuring accuracy and compliance with financial procedures.
  • Vendor Management: Support and maintain relationships with service providers to ensure quality, cost-effectiveness, and contractual compliance.
  • FM Procurement: Manage the procurement process for facilities-related goods and services, ensuring best value and quality for the organization.
  • Continuous Improvement: Identify and implement process enhancements and best practices to increase efficiency and effectiveness in facilities management.
  • Account Management: Oversee financial aspects of facilities management, including budgeting, cost control, and financial reporting.
  • Fire Insurance: Maintain fire insurance policies, and coordinate claims processes when necessary.
  • Contract Management: Oversee facilities-related contracts, ensuring compliance, and managing renewals or terminations as needed.
  • Regularly generate and analyse operational and financial reports to monitor facility performance, identify trends, and support data-driven decision-making.
  • Any other ad-hoc support required.

Interested? An ideal candidate would need to have the following qualifications

  • Strong academic record in Business Administration, Finance, Technology Information, or Hospitalities.
  • 3-5 years of experience in facilities management or related role
  • Excellent communication and interpersonal skills
  • Demonstrated leadership potential and strong organizational and multitasking skills
  • Analytical mindset and problem-solving skills
  • Fluency in English and Mandarin
  • Willingness to learn and adapt in a fast-paced environment
  • Proficiency in facilities management software and MS Office suite
