We are looking for an Associate Occupancy Planner, to join our Occupancy Planning and Management team.

What this job involves:

As an Associate Occupancy Planner, you will be responsible for tracking, analyzing, and updating space data and using this information you will leverage your expertise in the creation of occupancy planning scenarios to offer comprehensive solutions for our client's portfolio in a designated region. This role will be in the Westport Connecticut area and employees are expected to be in the office 3-4 days a week.

Managing space portfolios

How do you manage space through data? As a subject matter expert, you’ll manage our clients’ needs from capacity, demand, and supply for their workplace. Driving efficiency through all the products in occupancy planning and resolving a multitude of issues will be your responsibility.

Client and Stakeholder Relationship Management

One of your key responsibilities will be to help foster critical relationships with various clients and stakeholders. You will need to establish crisp and fast communication channels ensuring our clients receive the highest quality service and delivery. Managing many varying projects whilst ensuring a robust relationship is key.

Monitoring and reporting

You’ll also be accountable for preparing and updating accurate project status reports. Reporting of projects are imperative to ensure you are on time and identified any risk. This will demand your familiarity with typical occupancy metrics and industry occupancy trends.

Business Development

Contribute to the growth of Occupancy Planning for an industry leading real estate services firm.

Solid background

A Bachelor's degree in a related field such as architecture or interior design, is what we are looking for along with 3-5 years of experience in a corporate real estate environment. Previous experience in space/occupancy planning at a tactical level, plus experience with interior office renovations is highly desirable.

Tech-savvy

How tech-savvy are you? Do you utilize software to support solutions and communicate ideas? You will be successful if you have advanced skills in Microsoft Office suite, proficiency in AutoCAD, ability to consolidate data and floor plans into PowerPoint presentations together with CAFM/IWMS system experience. Your ability to ask the right questions, think strategically as well as tactically and make appropriate decisions to find solutions for our clients is paramount.

Excellent communication, both written and spoken (preferably English), and strong interpersonal skills are essential. You will need to be self-motivated whilst having the capability of inspiring others. Most importantly, if you thrive on a challenge, enjoy working on multiple projects, drive results, manage your time effectively, can multi-task, are intellectually curious, have an appetite for risks and passion for winning, then you’re the perfect fit for the job.

Below are the skills and experience that we are looking for:

  • Perform workplace programming and requirements gathering (i.e. adjacency requirements)
  • Perform tactical occupancy planning duties (i.e. space planning, block and stack plans & migration plans)
  • Perform reporting and deliverables for people and space data as well as occupancy metrics.
    • Analyzing data using advanced excel skills
    • Utilizing technology, including CAFM Systems to inform occupancy planning and benchmarking
  • Ensure space planning is aligned with corporate guidelines, procedures, and protocols and that all scenarios support business requirements
  • Collaborate with Portfolio Strategy, Transactions, Project & Move Management, and Facility Management teams
  • Collaborate with CAD-SDM team to ensure accuracy of planning database information
  • Manage periodic data audits, accuracy, validation & coordinate reconciliation in accordance with Service Level Agreements
  • Manage updates to space layouts and drawing management within relevant technologies
  • Manage tracking and management of agreed space and occupancy data sets within relevant technologies
  • Perform duties in line with account Service Level Agreements, CPIs, and KPIs
  • Perform occupancy data sets within relevant technologies (i.e. FMS SPACE CAFM system)
  • Problem solving – every day is different; every client is unique
  • A working knowledge of occupancy utilization, office design principles and trends such as the mobile or collaborative workplace
  • Attentive to detail and accuracy - particularly numbers and spatial creativity
  • Work experience in occupancy or space planning for corporate clients; or interior office planning, furniture planning/management, move/project management, or related Facilities function in a corporate real estate setting
  • A Bachelor’s Degree is preferred

Estimated total compensation for this position:

75,000.00 – 84,000.00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
