Overview:

We are seeking a skilled operational resource to oversee the daily functions of our IoT solution across a comprehensive suite of sensors. This role is crucial for ensuring the optimal performance of sensors located in laboratories, offices, and communal areas. The resource will act as the primary escalation point for issues and will collaborate effectively with various teams to support ongoing IoT projects.

Key Responsibilities:

1. Hardware Management and Maintenance:

Function as the main contact for addressing hardware issues identified by Business as Usual (BAU) teams during their routine inspections across all sensor-equipped environments.

Swiftly coordinate the resolution of hardware deviations to ensure minimal disruption to operations, facilitating clear and effective communication with all relevant stakeholders.

2. Downstream Software Management:

  • Maintain accurate records (e.g. sensor asset numbers; Issue Logs;), ensuring they are updated consistently.
  • Monitor reporting systems to guarantee data integrity and facilitate access to critical insights generated by the IoT sensors.

3. Collaboration and Audits:

  • Collaborate with internal teams to support routine audits, ensuring compliance and optimal sensor functionality.
  • Facilitate communication between various stakeholders regarding audit findings, operational performance, and follow-up actions.

4. Tactical SWAG Team Support:

  • Provide regular updates to the tactical Sensor Working and Advisory Group (SWAG) on system health, outstanding issues, and resolutions enacted.
  • Ensure alignment of on-ground activities with strategic goals as communicated by the SWAG team.

5. Project Support and Change Activities:

  • Assist in project-related activities that aim to enhance or expand the IoT sensor solutions, contributing knowledge and support where needed.
  • Engage in change management efforts, providing operational insights that aid in seamless transitions during system upgrades or new deployments.

6. Out-of-Hours Work:

  • In collaboration with BAU teams/resources, support project work undertaken out of hours.
  • Be flexible to address urgent operational requirements that may arise outside of standard working hours, ensuring continued system performance.

Behavioural and Relationship Management:

  • Establish and maintain effective working relationships with key stakeholders, including analytical teams, service leads, and external partners.
  • Facilitate continuous improvement initiatives by advising on program evolution and optimisation efforts based on observed operational data.

BAU Responsibilities:

  • Lead weekly meetings with the supplier, in order to:
    • Review system health.
    • Discuss outstanding issues, changes and queries.
    • Track supplier engagement for contract management.
  • Coordinate technology maintenance across all sites with support from JLL and Sodexo
  • Collaborate with internal and external SMEs to troubleshoot sensor and gateway issues, ensuring quick resolution and system uptime.
  • Adopt and encourage use of digital workflows (i.e., ServiceNow) to reduce technology downtime and streamline maintenance activities.
  • Regularly review and maintain the quality of sensor data, flagging anomalies and discrepancies to ensure data integrity and reliability.
  • Engage with service leads to raise awareness of data coverage and outputs and contribute to developing an ongoing pipeline of requirements and use cases to enhance insight generation.
  • Ensure product, process and service documentation is updated in line with changes and product evolution.
  • Provide regular updates to the broader Sensor Working and Advisory Group in relation to current system health, outstanding issues, changes, trends and opportunities etc.

Project Responsibilities:

  • Organise and host site visits for suppliers and third parties to support sensor deployment from design to BAU.
  • Support sensor deployment projects from design to BAU in coordination with service leads, the supplier, subject matter experts and relevant AZ teams (i.e., maintenance, networks, security, travel and more)
  • Evaluate if our existing technology stack adequately fills the service owner's knowledge gaps.
  • Assist in the offboarding process for various sensors and vendors, ensuring seamless transitions and documentation update.

Collaborative and Strategic Responsibilities:

  • Establish standards for reliable sensor data to optimise business processes and improve program effectiveness.
  • In partnership with Data & Analytics capabilities, oversee the amalgamation of complex datasets from different sensors to provide strategic insights into system performance and opportunities for cost savings.
  • Analyse data to prepare comprehensive monthly and quarterly reports on key performance indicators (KPIs) for executive review.
  • Lead efforts to identify and mitigate the root causes of repeated sensor failures, collaborating with stakeholders to improve resilience and reduce costs.
  • Regularly communicate with program stakeholders to provide insights, establish reliable data tracking, and ensure alignment with business goals.

Maintenance and Deployment:

  • Oversee the deployment and ongoing maintenance of sensor systems to enhance lab occupancy and space utilisation metrics.
  • Handle the installation, troubleshooting, and maintenance of sensors, ensuring accurate utilisation tracking and timely updates.
  • Liaise with end-users for frontline support, maintaining relationships and responding to requests efficiently.

Behavioural and Relationship Management:

  • Build and maintain conducive working relationships with key stakeholders within AZ (i.e., smart building experts, procurement and aforementioned AZ teams), supplier teams and external SMEs.
  • Advise business units on program evolution to ensure continuous improvement and integration of relevant smart building information.
  • Champion initiatives to innovate and improve the smart building sensor program, facilitating lab optimisation and operational cost reduction.
