Responsibilities

Data Management

  • Enabling changes through a client-dedicated financial and data management system

Financial Management

  • Invoice management including verification and coding of invoices to enable payment
  • Liaising with internal stakeholders and Landlords as required to facilitate invoice payments
  • Invoice verification and approval on behalf of the client

Operational Management

  • Preparing monthly /quarterly client reports with oversight of senior team members
  • Regular update of internal trackers
  • Arranging property inspections
  • Ensure smooth transition of new properties into management with oversight of senior team members
  • Assist and provide cover for team leader in all aspects of Estate Management, including attending periodic formal review meetings and presentations and engaging with third parties to ensure collaborative working.
  • Oversee and/or work collaboratively with other work streams to ensure delivery of the scope of services.
  • Continuous search for improvements in existing processes

Account Management

  • Provide administrative support to the account management team, ensuring smooth day to day operations and build relationships with key internal stakeholders to ensure alignment and collaboration.
  • Support the account management team in maintaining best practice across the account as well as materials such as templates and playbooks.
  • Schedule and coordinate meetings with the client and internal teams as well as assisting with room bookings etc.
  • Assist the Account Director and Programme Planning Manager with the preparation of client presentations and reports.
  • Organise and manage the account SharePoint site ensuring documents are saved as necessary as well as keeping files up to date and organised.
  • Support the account management team in managing multiple service lines and chase them for updates when required.
  • Ensure data quality is maintained on adopted systems including client hub by liaising with other JLL service lines who are inputting into the system.
  • Assist Programme Planning Manager on preparation of monthly fee applications.
  • Assist and support account management team during the absence of key personnel, ensuring continuity and seamless operations.

Requirements:

  • Fluent written and spoken English – Polish & other language a plus.
  • Knowledge of real estate leases and obligations a plus.
  • Very good MS Office skills, especially Excel and Outlook.
  • Creative thinking and ability to work under time pressure.
  • Good analytical skills, attention to details and organization skills.
  • Good communication skills, conflict-resolution & interpersonal skills.
  • Willingness to take on new challenges, responsibilities, and assignments.
  • Ability to work independently and collaboratively within a team.
  • A good understanding of data management and governance.
