About JLL
The Mailroom & Workplace Ambassador reports to the Facilities Manager and is responsible for effectively and efficiently running the mail room by managing the overall mail and courier activity within the building as well as manage technical aspects in the clients office.
The Mailroom & Workplace Ambassador will assist the Senior Facilities Manager with operational activities in maintenance and operations, vendor oversight, purchasing of material, equipment & supplies, occupancy services and helpdesk. The Mailroom & Workplace Ambassador is also required to provide administrative support to the team.
Essential Duties and Responsibilities
• Manage incoming / outgoing mail and courier services.
• Coordinate mail handling across building and effectively liaise with the team.
• Receive, direct and relay mail related correspondence.
• Liaise with courier partners to maintain excellence of service delivery (DHL, PostNL)
• Suggest ways to make mail processes and records more effective and efficient.
• Present necessary data to manager about activity in the mail room.
• Monitor and maintain consumables stock according to agreed par-stock levels.
• Provide reception coverage daily from 8.00am to 9.00am and assistance if required. Be familiar with basic Receptionist Role & Responsibilities.
• Maintain frequent contact with key business partners and stay up-to-date with their departmental mail requirements.
• Prepare for/attend required JLL governance meeting (i.e., team meeting, townhall, manager-direct report meetings etc.)
• Be familiar & adhere to Office Services internal procedures.
• Coordinate and support all technical suppliers and the service they deliver
• Activate and run technical projects as required
• Monitor & maintain technical equipment (CCTV, townhall equipment, alarm system)
• Perform handyman tasks if and when required
• Support the wider JLL on-site team
• As front-line employee, act as an ambassador of the Integrated Facilities Management program
• Ensure accurate and detailed hand over is planned & passed on (for tasks for which being responsible), if absent from the business.
• Conference and Event technical support
• Continuous Improvement: Proactively identify opportunities for process improvement, service enhancement, and cost savings within the workplace. Provide feedback and suggestions for optimizing the workplace experience.
• Additional Administrative Requirements as Needed: Engage in a range of organizational support tasks that may include document management, data entry, scheduling, coordinating meetings, or assisting with special projects. Adapt to changing priorities and contribute to the smooth operation of different departments as needed.

Qualifications

Education and/or Experience
High school diploma or general education degree (GED); or at least two years related experience and/or training; or equivalent combination of education and experience.
Language Skills
Ability to read and write comprehend simple instructions, short correspondence, and memos. Must speak and understand both Dutch and English proficiently.
Customer Service
Able to greet and assist employees, clients, vendors and guests in a courteous and responsive way.
Able to work in team environment with strong interpersonal skills.
Problem Solving
Able to identify and solve problems and react accordingly to a variety of work situations.
Makes sound decisions under time pressures.
Physical Demands
The physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job.
Work Environment
The job must be performed at the client's location.

08.00 – 16.30 Monday – Friday
