The Vendor Manager is the day-to-day key contributor to a successful partnership with third party Service providers for IFM Services. This role interfaces closely with IFM field personnel, Client Sourcing, Supplier Management and service providers to ensure a strong mutually beneficial relationship.
Responsibilities
- Vendor Management for Facility Management (FM) service providers
- Adoption and daily work management in our work order technology system (Corrigo)
- Provide training to FM service providers around work order processes, invoicing, and other account requirements
- Develop and drive FM vendor management processes to monitor performance, compliance, and financial strength in accordance with client requirements and firm policies
- Leverage data from various systems to develop scorecards integrating reports from surveys, operations data, and other data sources
- Spearhead internal process improvements identified through collaboration with service providers
- Ensure supporting documentation is “audit ready” to meet client’s quarterly audit cycle deliverables
- Escalate risks throughout the organization appropriately
- Serve as point of escalation for issues related to vendor performance
- Manage day to day escalated vendor issues and work order/invoicing activities
- Ensure applicable meetings are scheduled with the vendors and tracking of outstanding action items to their completion
- Form cross-functional teams to address vendor management challenges in a holistic fashion
- Communicate with senior management team regarding vendor performance and relationships
- Support preparation of required vendor qualification documentation
- Drive ongoing process improvement to deliver increasing operational efficiency
- Identify and drive best practices and standardization
- Manage special projects as requested
What is your day to day?
Review and validate vendor performance of contracted responsibilities to ensure accurate and timely payment for services received partner with service providers and other JLL Subject Matter Experts to drive improvement in safety, quality and cost reduction through implementation of best practices, innovations and work process improvements. Monitor contract performance and report on overall service or business outcomes Assist with the oversight and/or administration of service providers for correctly using Corrigo, invoicing and executing to the contracted expectations. Collaborate with functional teams to ensure alignment and support core strategies and initiatives, ensuring consistency of messaging communicate effectively with internal and external stakeholders at all organizational levels.
Qualifications
- Bachelor’s degree from an accredited institution or equivalent experience required
- 3+ years of Vendor Management experience for FM services
- Knowledge of service contracts and compliance issues in a financial service environment including certificates of insurance (COI) and background checks is preferred
- Orientation and balance of client service, compliance, business process improvement, change management, innovation, and cross-functional thinking is required
- Experience working with hard and soft services categories, particularly real estate services within Facilities Management service lines, is preferred
- Excellent written and verbal communication skills
- Strong interpersonal skills with the ability to interact with executive level internal & external clients
- Customer service mindset; solid interpersonal skills and integrity
- Proficient analytical qualities to measure vendor performance.
- Excellent analytical, problem solving, and project management skills
- Demonstrated ability to manage multiple projects – prioritization
- Exceptional people skills, exhibiting the ability to work comfortably with individuals at all levels within the company
- Demonstrated leadership skills
- Ability to create and foster positive customer relationships
- Acts collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and customer service orientation.
- Proficient with Microsoft Office products such as Microsoft Excel, PowerPoint, Word, Outlook, etc.
Estimated total compensation for this position:
65,900.00 – 80,000.00 USD per yearThe total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
