ROLE AND RESPONSIBILITIES of ADMIN EXECUTIVE
OVERALL ROLE: Assist the Executive - Soft Services in managing administrative tasks, documentation, and housekeeping operations across two separate business entities. Ensure smooth functioning of soft services while maintaining accurate records and supervising housekeeping teams.
Major Responsibilities:
Administrative Tasks
- Prepare and process overtime (OT) documentation for JLL staff
- Manage filing systems for all JLL documents
- Monitor attendance of housekeeping and soft services teams
- Generate reports on soft services operations and team performance
Housekeeping Supervision
- Oversee daily operations of housekeeping teams
- Conduct regular inspections to ensure cleaning standards are met
- Coordinate with other departments to address cleaning and maintenance needs
- Handle staff scheduling and resource allocation for housekeeping teams
Inventory Management
- Monitor and maintain inventory of cleaning supplies and equipment
- Process requisitions for replenishment of supplies
- Ensure cost-effective procurement of cleaning materials
Training and Development
- Assist in training new housekeeping staff
- Identify training needs and coordinate skill development programs
- Ensure all housekeeping staff are updated on safety protocols and cleaning standards
Quality Control
- Implement and monitor quality control measures for cleaning services
- Conduct regular audits of cleaning processes and results
- Address and resolve any complaints or issues related to housekeeping services
Health and Safety Compliance
- Ensure housekeeping teams adhere to all health and safety regulations
- Maintain records of safety training and incident reports
- Participate in safety committee meetings as required
Budgeting and Cost Control
- Assist in preparing budgets for soft services and housekeeping operations
- Monitor expenses and identify cost-saving opportunities
- Prepare financial reports related to soft services operations

Knowledgeable and experienced
- Diploma/degree in business administration, facility management, or related field
- 2-3 years experience in administrative roles, preferably in a manufacturing environment
- Proficiency in Microsoft Office Software, especially Excel for report preparation
- Understanding of housekeeping operations and cleaning standards
Professional and efficient
- Excellent organizational and multitasking skills
- Strong attention to detail and accuracy in documentation
- Effective communication skills, both written and verbal
- Ability to lead and motivate housekeeping teams
- Problem-solving skills and ability to work under pressure
- Knowledge of health and safety regulations in a manufacturing setting
Additional Requirements:
- Proficient in bicycle riding with a valid Sri Lanka motorcycle license and owning a motorcycle
- Ability to manage time effectively between two different work locations
- Adaptable to different business environments and company cultures
- Strong interpersonal skills to interact with various departments and staff levels
- Commitment to maintaining high standards of cleanliness and organization
- Ability to work flexible hours when required
- Physical stamina to move between locations by bicycle
