We are looking for an experienced Executive Assistant with German to support our Head of Retail EMEA Capital Markets and the Pan EMEA Retail team within Capital Markets.

Job Description:

  • Provide Executive Assistant support to the Head of Retail EMEA Capital Markets
  • Provide Business Support to the Pan EMEA Retail team
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
  • Provide inbox management for Head of Retail EMEA Capital Markets
  • Coordinate complex scheduling and extensive calendar management across multiple time zones
  • Gather and assist putting together presentations for speaking events
  • Manage, coordinate, and arrange international travel and travel-related activities, including accommodation and producing detailed itineraries (visas/tests where applicable)
  • Deal with telephone calls and emails from clients and colleagues in a professional manner and escalating any issues
  • Develop and maintain effective working relationships with clients (externally) and colleagues (internally)
  • Support with project work (when required)
  • Organise meetings and presentations booking the relevant rooms and equipment both in the UK and globally
  • Provide wide ranging administrative assistance & help maintain folders for the team ensuring all necessary documents are saved in the correct location
  • Assist in organising team communications and plan events, both internally and offsite
  • Oversee the preparation and submission of expense reports by CMG Delivery Admin team
  • Assist Head of Retail EMEA Capital Markets with updating JLL Capital Markets CRM system, Capforce with meeting notes
  • Contribute as member of wider Pan EMEA Business Support team to provide absence cover and help with ad hoc urgent work

Requirements:

  • 5 + years’ experience as an Executive Assistant
  • Fluent written and verbal communication skills in English and German
  • Strong time-management skills and the ability to organize and coordinate across different time zones
  • Proficiency in Microsoft Office, Excel, PowerPoint, etc. and JLL platform systems for expenses, travel, etc.
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
  • Ability to keep company confidences
