We are seeking an experienced and dedicated professional for the position of Administrative Assistant with excellent German and English language skills. As a crucial interface in our team, you will support the WPM FMNA and WPM DACH Leads in their daily tasks and significantly contribute to the efficient administration and coordination of our department.

Responisbilities:

  • Expert use of MS Office to create professional presentations, spreadsheets, and documents, ensuring high-quality outputs for internal and external use
  • Provide administrative support to WPM FMNA and WPM DACH Leads in daily operations
  • Coordinate and manage all aspects of team travel arrangements, including bookings, itineraries, and expense processing in compliance with JLL policies
  • Efficiently manage team calendars, schedule meetings, and handle meeting room bookings, including any necessary catering arrangements
  • Collaborate closely with fleet management, audit, finance, HR, and sourcing teams to support various operational processes and ensure smooth interdepartmental coordination
  • Lead the administration of SharePoint and Teams platforms, ensuring optimal organisation and actively communicating key messages and updates to relevant stakeholders
  • Implement and maintain robust document management systems, ensuring all data is up-to-date, easily accessible, and securely stored in compliance with company policies
  • Collaborate with the CMG team to provide accurate and timely contract translation services, maintaining confidentiality and attention to legal nuances
  • Liaise effectively with various stakeholder groups, including senior management, clients, and cross-functional teams
  • Demonstrate agility and a solution-oriented approach, proactively identifying areas for improvement and proposing innovative solutions to challenge the status quo
  • Support the implementation and management of JLL platforms, systems, and processes, ensuring compliance with governance standards and best practices
  • Work closely with Account Directors, providing support in data management, account planning, and executing general administrative tasks in adherence with regular reporting requirements


Requirements:

  • Professional experience, including 5+ years as an assistant, with extensive knowledge of the real estate industry
  • Fluent in German and English, demonstrating excellent written and verbal communication skills in both languages
  • Advanced proficiency in MS Office suite, particularly PowerPoint, Excel, and Outlook
  • Highly proactive and self-motivated, with exceptional interpersonal skills to effectively engage and communicate with diverse stakeholders, including senior executives, clients, and external parties
  • Demonstrated ability to excel under pressure, consistently meeting tight deadlines while maintaining meticulous attention to detail and accuracy
  • Strong team player with a collaborative mindset, capable of adapting to changing priorities and ready to support team members across various functions as needed
