Schedule: Remote, Monday-Friday, 8:00 AM to 5:00 PM
Reports to: Manager, Client Services
Travel requirements: 50% until spring of 2025 then dialed down to 25%
Scope of work: ~15 million sq ft
The Facilities Manager interfaces with our clients, account teams and service providers to ensure superior delivery of the facilities services provided. This position makes sure that any issues or conflicts are quickly and efficiently resolved with the highest degree of customer service. The successful candidate must be able to organize and prioritize multiple tasks, effectively manage through stressful situations, and develop and effectively manage customer relationships.
What your day-to-day will look like:
Responsibilities include liaising with contractors, coordinating maintenance and operations, supporting the effective delivery of contracted services, and occupancy services and administration.
Single point of contact for daily FM services.
This includes management of a single site or multiple sites as appointed by Customer.
This will include daily coordination of the delivery of services to manage the maintenance and repair of applicable Customer facilities.
Matrix-manage the technical, administrative and delivery staff of Customer sites with overall responsibility for the performance of all resources deployed within FM scope for assigned facilities.
Collaboration with provider management on opportunities to define scope and coordinate supplier walk-throughs.
Manage all assigned facilities to monitor SLAs to identify any potential challenges or necessary corrective actions, applying best practices.
Manage the corrective/reactive work orders as necessary, which will include monitoring work orders to completion as well as communications to Customer landlords, managed contracts, contractors, and applicable site contracts.
Develop Customer relationships with key representatives in supporting Customer’s facility management goals and objectives. FM plays an important role with dual responsibilities for communication and any required SLA reporting.
Work closely with Customer to track hours and obtain approval as applicable for NTE work, to include oversite of Customer invoices to ensure NTE hours are managed and approved as necessary.
Conduct quarterly account review.
Seek to continuously improve processes, systems and overall customer satisfaction
Assist with budgetary requests, analysis and reporting
Manage subcontractors and suppliers to deliver goods and services against contracts and expectations
Assist with the coordination and scheduling of maintenance activities
Provide direction/information to vendors, facilities staff and service providers as required ensuring excellent coordination of work within client environment with minimal disruption.
Assist with receiving and dispatching of work requests to technical staff, vendors or other services providers
Effectively works with contractors to ensure timely service and quality of work standards are being met for each client within the market (includes re-occurring and enhancement work)
Collaborates with contractor network to obtain bids for all landscape services for new and existing customers within the region.
Compiles and analyzes estimate to ensure accuracy and cost effectiveness for all bids
Creates and establishes extra revenue goals for respective network to ensure budget goals are met by reviewing inspection reports and/ or post service photos to identify recommendation.
Work with internal groups (Sourcing Team, Accounts Team, Category Management, Billing) to communicate customer requirements and to resolve any challenges, issues, or new opportunities
Work with client and service provider personnel to set up systems, maintain access and usability, provide training, and coordinate any IT or other projects
Accurately completes all pertinent paperwork to ensure site(s) are properly added or removed
Requires participating in afterhours call rotation for dispatching and following up on afterhours emergencies
Coordinate facility management and small project tasks as directed
Works with client to oversee the delivery of maintenance and repair services
Ensure client satisfaction with delivery of Facility Management services and provide a lead role in monitoring increasing customer satisfaction
Provide support for meetings and conferencing
Import JLL best practices in the interest of exceeding client goals and expectations
Required Skills and Experience:
High School Diploma or equivalent
Bachelor’s degree in Business, Engineering, Computer Science, or a related field.
Minimum of 5 years of facilities management experience required either in the corporate environment, third party service provider or as a consultant, retail experience is a plus
Relevant training in MHE, Controls Systems, PIT as well as general building operations
Knowledge of customer service principles and practices
Good organizational and interpersonal skills with a strong customer focus
Must have solid knowledge of building/ mechanical, electrical systems (MEP)
Strong financial management and budgeting skills
Proficient in MS Office, and possess strong written, verbal and people skills
Demonstrated intermediate to advanced written communication skills (spelling, grammar and punctuation) and verbal communications skills
Experience required using CMMS systems and reporting
Able to work independently with minimal supervision
Prioritize and manage the completion of projects in an efficient and timely manner
Ability to quickly learn how to use any Company required software may be required

Estimated total compensation for this position:
63,800.00 – 95,000.00 USD per yearThe total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
