Ensure the compliance on SLA of IFM agreement between JLL-Intel on ordering process § Assist procurement team and project team in delivery control and documentation per IFM procurement procedure
DUTIES AND
RESPONSIBILITIES
Participate in the procurement activities for small projects & purchases, including: finding vendor/supplier, select & evaluate the quotations from vendor based on customer’s requirements; Issue PO to vendor; Coordinating to have contract and PO signed by vendors and JLL (?) § Get the purchase done at the most effective manner; Comply strictly to IFM procurement procedure during vendor sourcing and selection § Booking goods receipt, scanning all purchasing docs to save in share drive and handing over these docs to Finance department to issue invoice to customer and release the money for vendor in due date § Ensure the ordered material/service delivered on time, at expectation on quality, quantity. Get delivery note signed by JLL and Intel upon handover complete § Hand over to operation required docs like copy of contract, warranty certificate, delivery note …for their management of warranty (?) § Assist Project team in documentation, including preparing the safety documents before project execution; ensure all as built document/other project related document are done and updated after project completion § Be a centre point of all purchasing documents filing system
Be a contact point among vendor - client – operation once any warranty claims (?) § Keep the fruitful and efficiency relationship with the vendor § Any other duties as and when required by the Manager
KEY PERFORMANCE MEASURES
Meet the requirements of customer proactively and professionally in ordering and delivery timely 100% · Complete all jobs to support finance team in billing client and payment to vendor per expected deadline · 100% purchasing documents save in share drive for transparent and audit purpose · Contribute to the success of procurement team and project team
EMPLOYEE SPECIFICATIONS
KEY COMPETENCIES · Local Vietnamese, Bachelor Degree · At least 2 years’ experience in procurement/ purchasing/ admin · Knowledge on international procurement process is preferable · Fluent communication in both English and Vietnamese · Work with tremendous care, detail- oriented, proper tracking and documented · High responsibility at work, sense of emergency and solutions proposal to get the problem solved · Ability to handle multiple complexity jobs with steady nerve · Mature and level-headed while dealing with people around · Customer orientation, team work and integrity · Able to utilize Microsoft Word, Excel and Outlook
LEADERSHIP
· Represent Jones Lang LaSalle by behaving consistently with cultural and company requirements. · Provide services in keeping with client’s cultural and company requirements. · Work towards objectives unsupervised. · Be willing to assist & mentor colleagues.
