Supporting industry changing projects

As a Project Coordinator at JLL, you will be directly responsible for supporting a construction project management team to deliver challenging projects. Being forward thinking and consistently demonstrating initiative to adopt new technologies and contribute to efficient processes is key to the impact you will have in this role. You will administer, manage, and prepare reports on all project documentation including contracts, budgets, schedules, and meeting minutes. Your interest in construction projects from start to finish will speak to your ability to support your team in delivering interesting and industry changing projects.

You are proactive and can think ahead to anticipate the needs of the team regarding data accuracy, preparing marketing materials, research, and project management related technology.

What this job involves

  • Support project management team on projects and assignments.

  • Proactively manage project-related issues.

  • Demonstrate a proactive focus on meeting client / project requirements in a timely and cost-effective manner.

  • Demonstrate proficiency in the use and application of all PDS technology as required for assigned projects.

  • Comply with all JLL policies and procedures, including but not limited to ethics and code of conduct.

  • Provide administrative and record keeping support on behalf of assigned projects according to JLL’s standards for document management.

  • Maintains and supports project management tools, systems, and processes.

  • Ensures best practices are being followed and the right resources are available to project managers.

  • Focused on compliance to ensure projects are delivered per contract.

Task Responsibilities

  • Coordinate Meetings

  • Transcribe meeting minutes, punch lists and other project documentation

  • Assist in updating Schedules and Budgets

  • Track Invoices

  • Coordinate Vendors

  • Produce quality Monthly Reports

  • Assist in drafting RFP’s

  • Ensure project data is maintained and updated in real time in AdaptiveWork

Required Knowledge, Skills and Abilities (SKA)

  • 1-year of practical experience in a project administration / accounting position required

  • Experience in construction management or real estate preferred

  • Highly organized with strong analytical skills

  • Strong interpersonal skills with an ability to interact with executive level external and internal clients

  • Organizational skills with the ability to identify and manage priorities

  • Excellent written and verbal communication skills

  • Detail oriented

  • Ability to multi-task and work both in a team and independently

  • Proficiency with Microsoft Office Suite, AdaptiveWork and SharePoint

Required Education

Associate or bachelor’s degree from an accredited institution in Accounting, Business, Architecture, Engineering, or Construction Management strongly preferred.
