Facilities Manager
Integrated Facilities Management – (region/country)
What this job involves:
Acting as the steward of the facility
Serving as the backbone of the facility, you’ll sit at the bottom of a wide range of responsibilities, from managing contracts to keeping the day-to-day operations—including facilities and equipment, M&E matters, housekeeping, conference rooms—in tip-top shape. This is why a strong grip with the service structure will come in handy especially when dealing with issues related to operating expenditures.
Part of your usual concerns include the maintenance all records related to the performance of facility management operations on the site. You’ll also find yourself developing MIS reports for our management team. And when the operations manager is not present, you’ll be expected to lead the monthly progress meeting.
Besides these, you will train team members on all quality policies and procedures. Every now and then, you’ll also be involved in reviewing the performance of our staff and conducting performance appraisals.
Specific Duties:
In particular, you will be responsible for carrying out the following duties specific to your Position: Directly support the Senior Facility Manager in executing the needs of managing the assigned portfolio. Assist the Senior Facility Manager in the delivery of services to operate and maintain the property including: financial, technical, maintenance, procurement, and asset & vendor management Ensure client satisfaction with the delivery of Facility Management services and provide a lead role in monitoring and increasing customer satisfaction. Support Global account employee experience initiatives, i.e. hospitality program. Ensuring the JLL delivery is continuously delivering both operational excellence in our service and delighting the customers in their experience with our services. Own site-level relationships with the key client representatives and on-site key stakeholders to discuss ongoing service delivery, user experience, and forward planning for the facility while maintaining a positive working environment that is conducive to surfacing and resolving the root cause of issues. Assist with critical after-hour issues & participate as a key team member in response to emergency situations. Manage or assist with various facilities projects and provides input into business cases to support facilities and operating budget recommendations. Ensure compliance to Occupational Health and Safety policies, regulations, legislation and cultivate a workplace where health and safety is a priority for clients, team members, and contractors focusing on a “goal zero injuries” strategy. Support the Senior Facility Manager in the implementation of short and long-term projects for the client. Manage Computerized Maintenance Management System (CMMS), “Corrigo”, to focus on providing know-how guidance, instruction, and support for processes and procedures related to work order management delivery. Conduct daily / weekly/ monthly office inspections. Assist in the development and management of capital budgets. Ensure compliance with Jones Lang LaSalle's minimum audit standards. Prepare, submit and manage facility budgets with the clients’ goals and objectives addressed, track variances and ensure an accurate forecasting process. Provide forward-looking expense and capital projections. Assist in Development of a 5- year capital plan for your site based on the results of the internal audits, Facility Renewal Plan and infrastructure, and "refresh" or renewal work. Manage and deliver against the approved capital plan. Directly accountable for the performance of several external service providers and partners. Hold service providers accountable to the terms and conditions of their contracts. Understand the contents and deliverables in their contract. Comply with all Jones Lang LaSalle policies and procedures, including but not limited to time & expenses, ethics, and business practice. Meet or exceed defined client feedback scorecard objectives, develop action plans to address any issues and seek out opportunities for the continuous improvement of our services. Nurture an environment conducive to good teamwork and cooperation among colleagues, including supporting a culture of diversity and inclusion and strong ethical behavior. Coach and develop employees to reach full potential, proactively dealing directly and quickly with performance issues and positioning employees for success within the firm. Proactively promote a safety mindset in everything we do by implementing a “goal zero injuries” strategy. Manage and operate facility utilizing industry and JLL Best Practices, implementing improved or new processes that improve service to the client and/or reduce cost. Maintain the facility appearance, service levels, and hospitality at very high levels. Report critical and key performance measurements and achieve performance targets on metrics and internal audits (financial, operational, etc.). Ensure audit action items are completed on the required timing. Qualifications:
Bachelor’s degree or equivalent work experience in Facilities Management or property management Four to six years of facility, project, or construction related experience in a Corporate Real Estate environment Superior people management skills Superior client relationship management skills Experience with managing multiple vendors and small capital projects Excellent time management skills to meet contractual deadlines and simultaneously handle and prioritize multiple projects, tasks, and requests. Experience working on a client account strongly preferred. Managerial experience required including a history of “delighting” the occupants of the facility, budget management, contract management, and people development. Strong work ethic and interpersonal skills. Energetic, articulate, and personable. Ability to work well with others at all levels, including senior leadership, and across organizations. Strong written and oral communication skills. Strong analytical and critical thinking skills including a demonstrated ability to use data to find insights and drive decisions. Proficiency with Microsoft Office Suite – Word, Project, PowerPoint, Excel. The work environment requires a physical presence onsite at the facility to oversee daily operations and serve as the client contact.
Bringing maximum value through excellent service delivery
Beyond daily maintenance, your ultimate focus is to provide professional, value-focused service that helps us meet—and go beyond—the client’s expectations.
Lending your business acumen, you’ll advise the client on future maintenance budgets, so you’ll need to be in tuned with the organization’s ins and outs, goals and overall direction. Your expertise in the world of contracts would be incredibly useful, as you’ll also get your hands on defining terms and conditions, operational scope and documents for annual maintenance contracts. Along with this, you’ll run successful tendering exercises that will help you find the right subcontractors. You’ll also carry out comparative analysis and make recommendations to the client on the most appropriate subcontractors.
Plus, it’s your job to develop service level agreements (SLAs) and assist our procurement experts in closing these agreements with vendors. While in the process, you’ll consider: Is the team deployed by the vendor made up of the right resources—in terms of level and scale—to deliver quality services?
Playing the role of a strategic operator, you will also craft annual cost-saving goals in energy usage and maintenance operations. Coordinating with specialist professionals to ensure compliance with minimum wage acts for payments and regulations falls into your hands as well.
Managing working relationships—the right way
Your ability to deal with clients, vendors and onsite personnel carries a huge impact on your success as facility manager. Among the things that you need to stay on top of are whether subcontractors are meeting their commitments on the scheduled delivery of trainings or they have a planned, structured and solution-based approach to maintenance services. Also, you will audit subcontractors on the quality of materials and upkeep of the site.
You’ll will coordinate with the HR department and the Operations Manager and make recommendations for future trainings to be given to the site facility management team. You’ll prepare and review the preventive maintenance register on a monthly basis and update the operations manager. You’ll also liaise with our Finance team and that of the client’s for client billing and invoicing. You will also be in touch with the client representatives for the payments.

In order to qualify for this role, you need to have a college degree. Under your belt, you should also have 5-8 years of experience in facilities management. We’re also looking for someone with tertiary qualifications in building management and/or business.
