Facilities Site Lead - School
Work Dynamics - Integrated Facilities Management
Principal Accountabilities
Play a leadership role in overseeing delivery of facilities management services
Single point of contact on site - responsible for ensuring that contractual obligations, including taking accountability for all on-site FMM matters, are met
Leading role on people development and site team management
Responsible for budget control and site finance tracking
Accountable for site maintenance, small and capital projects
Duties & Responsibilities
Client Management
Liaise regularly with the Client's nominated representative on various operational issues and JLL programs (e.g. JLL EHS Week, ISO Audits, etc)
Manage communication channels between the Client and JLL team
Accountable for delivery of SLA and KPIs and reporting on-time.
Prepare regular reports to the Client and ensure Client is updated on key matters
Lead quarterly business review (QBR) and annual review with the Client nominated representative
Responsible for the attendance at all client meetings and daily record submission to client
Adhere to College's Safeguarding and all policies stated in the agreement
Service Delivery
Work closely with the Account Management team to manage facilities management services to the campus
Monitor critical path activities, ensure timely escalation, and drive quality & consistency within the campus
Administer client's FM vendor contacts such as evaluating scope of work/ proposed pricing for contract renewals
Accountable for the overall implementation and review of Environmental Health and Safety (EHS) standards
Involve in JLL strategic planning and execution of related client business plan to include key objectives, client satisfaction results, summary of value-add activities, and potential growth/expansion opportunities
Submission of client site risk tracking monthly
Manage the site duty management team (Operational Lead, Soft Services Lead, Hard Services Lead & Security Coordinator / FSM) to achieve contractual KPI and SLA target
Manage the site duty management team (Operational Lead, Soft Services Lead, Hard Services Lead & Security Coordinator / FSM) to actively identify and manage sustainability
Ensure overall customer service satisfaction
People Management
Responsible for the management of the onsite team e.g. recruitment, performance, assessment, etc
Actively manage the professional development of all direct reports
Prepare and implement a Succession Plan for the account
Ensure the campus is adequately staffed
Responsible for planning and oversee the site staff training program
Finance Management
Responsible for budget control and site finance tracking of fixed and adhoc vendor expenditure
Person Specification
Degree in Building/Mechanical/Electrical Engineering or any other related discipline
Practical experience in facilities management, vendor management, client reporting and finance management
Ability to adapt and perform under pressure, strong leadership, people, and communication skills
Possess strong interpersonal skills with the ability to build rapport quickly
Good communication skills with excellent command in spoken and written English
