Operations Management
• Coordinate with contractors / supplier for procurement on daily use items & minor builder works projects
• Prepare JDE / PO / CCO & invoicing for the civil works repair & maintenance works and minor project
• Plan and execute PPM schedule and ensure all works are completed within timeline
• Attend internal weekly meeting and prepare meeting minutes
• Update and housekeeping of civil works project document, form, template & manual
• Assist in security booking and prepare working permit with Building Management
• Plan, Organize, Arrange, input & revise weekend task, risk assessment & civil works weekly update; assist in coordination and supervision of weekend and after-hours maintenance and repair works
• Perform key management
• Monitor and supervise performance of vendors and the handymen team
• Audit and manage store inventory and review inventory level
• Attend emergency situation and coordinate with vendor for immediate rectification
• Carry out any other duties as assigned by Morgan Stanley
Client Service
• Manage facilitate online work order request and act as point-of-contact for user queries on use of helpdesk
• Provide feedback to the requestor on the status of their order if required by user
• Provide quotation and arrange extra air-conditioning per user requests
• Verify monthly extra air-conditioning invoice
• Ensure Business Unit contact list is up-to-date
• Arrange Executive Washroom access for eligible staff
• Issue internal correspondence / notices to users (including ad hoc maintenance work and weekend task)
• Provide customer service support and assist with complaints follow-up
• Develop and maintain close relationship with Business Unit Administrators and key users
Event Management
• Liaise with Catering Team / users on meeting room set up
• Liaise with Catering Team on in-house event set up
• Arrange vendor / in-house team work schedule for set up and reinstatement
• Coordinate annual Lion Dance with users and Building Management office
• Ensure meeting / event related work requests are logged in online tool
• Provide event related report as request
Health and Safety
• Coordinate and arrange First Aider / AED Operator training for internal users
• Ensure First Aider / AED Operator list is up-to-date
• Send workstation surveys to all relocated users
• Issue workstation comfort survey to new staff, monitor replies and arrange on-site assessment as required
• Carry out workstation assessment if necessary
Executive Parking Management
• Manage Executive Parking programme for client.
• Vet internal car park applications in accordance with client’s policy
• Coordinate car park application / termination, car park access and shuttle lift access for eligible users with Building Management Office
• Prepare monthly carpark usage report
• Handle all car park enquires
Office Plant Management
• Arrange office plant rental by request of user
• Conduct quarterly stock check with vendor
• Arrange purchase and delivery of festive plants at Christmas and Chinese New Year
• Vet vendor invoice
• Conduct regular review meetings with vendor
Administration Management
• Update leave record for JLL team
• Prepare and update record of monthly expenses claim for JLL team
• Prepare monthly attendance summary and OT record for JLL team
• Verify monthly JLL duty phone billing
• Filing of work orders and other documentations
