Responsibilities

The candidate will be experienced in providing outstanding services in support of Meguro Office Management, proactively leading, monitoring and managing onsite Client account activities. Effective in managing direct and indirect reports, you will guide individuals to support Client requirements. Authenticity and a genuine desire to deliver professional, value-focused services exceeding Client expectations will drive your success.

Operational Management

  • Manage vendor services such as facilities management, reception, mail operation, meetings and events, cleaning, waste & recycling, and vending machines.
  • Lead the office inspection and find the defect before escalated by users. Find root cause of issue and deliver the temporary/permanent solution.
  • Monitor and maintain office equipment and supplies.
  • Manage and maintain regular contact and meetings with relevant vendors - to report on issues, recommendations and cost estimates.
  • Weekly walk-round with the vendor cleaning manager ensuring cleaning quality standards are maintained.
  • Manage food and kitchen facilities – provide direction to housekeepers.
  • Manage Trouble Ticket and Requests - interface with internal customers and action queries promptly in line with service level agreements.
  • Manage day-to-day health and safety issues – Manage EHS related operations: primarily conduct and maintain records of fire safety teams/fire drills/safety equipment/training.
  • Assist in the organizing of internal events hosted by the users.
  • Managing the quality of conferencing facilities.
  • Raise purchase orders and receive the invoice on time.
  • Manage Wiki pages and other communication channels for the Managed Facility.
  • Deputize / provide cover for Building Operations Coordinator / Facilities Manager when appropriate.
  • Regional initiative - Collaborate with regional team to implement regional/global initiative onto the local sites.

Responsible for all other duties and tasks relating to facility operation.

Vendor Management

  • Manage vendor contract, budget and spending.
  • Monitor processes the key performance indicator to quantify the efficiency, effectiveness, quality timelines and compliance of the vendor.
  • Manage the meetings with vendors to report on issues, recommendation, best practice/innovations and cost saving.
  • Establish good relationship with vendors to deliver the best services to the client.

CANDIDATE SPECIFICATION: KEY SELECTION CRITERIA

Experience

  • Be familiar with the Scope of Work (SOW) and assist Reporting Manager in the delivery of: Client Satisfaction, Uninterrupted site operation and Continuously improving services.
  • Possess good IT skills
  • Proficient in MS Applications such as Excel, Word and PowerPoint
