What this opportunity involves:

In conjunction with the National Facilities manager, this role will manage and maintain a mix of Owned Properties and Leased Premises within the QLD region (or as allocated) on a day-to-day basis to support the service delivery functions of Tabcorp occupying the premises and ensuring compliance with performance expectations.

The role will assume overall responsibility for site budgets, accounting and finance, maintenance and operations, contract services, purchasing of material, equipment & supplies, occupancy services and helpdesk.

The portfolio will include a mixture of commercial and retail properties with a direct focus on the major corporate offices at 180 Ann St and 15 Brandl St Eight Mile Plains plus any others as they enter the portfolio.

A snapshot of the role:

  • Engaging with team members
    • Ensure effective communication with all team members including the FM team members, JLL leasing and JLL support services.
  • Partnering with the Client/Stakeholder(s)
    • Proactively engage stakeholders to ensure that on site client’s expectations are met assisted by a 2-3 day weekly cycle between the key corporate sites at 180 Ann st and 15 Brandl st Eight Mile Plains
    • Build and develop effective client / stakeholder relationships across multiple levels of the organisation.
    • Key point of contact for Facilities within the client’s portfolio.
  • Procurement & Vendor Management
    • Ensure vendors are well-managed, delivering services on time and within budget.
    • Ensure that vendor procurement processes comply with agreed client procurement guidelines as well as JLL best practice.
  • Overseeing Contracts
    • Plan and manage all contracts to ensure that they are professionally delivered at the right costs.
    • Ensure expiry of contracts are well-monitored and re-procurement is initiated when required.
    • Ensure contracts are continually assessed to deliver best value to the client.
  • Keeping the numbers in check
    • Actively work to ensure that the site’s financial operations are meeting or exceeding targets and control requirements including the JLL Code of Ethics
    • Ensure financial processes are always followed.
    • Input and management where required in the budgeting process.
  • Ensuring everyone stays safe.
    • This role has the responsibility and duty of care to work safely, taking reasonable care to protect their own health and safety and that of fellow workers and visitors and to comply with the requirements of the health and safety guidelines, policies, and rules.
  • Keeping an eye on the Site & Operations
    • Recommend continuous quality improvement practices and implement Industry Best Practice operations.
    • Implement building procedures and performance measures and ensure they are always maintained.
    • Ensure all Critical Environment (CEM) requirements are met.
    • Review existing operations regularly to reduce costs and improve operational standards.
    • 24/7 emergency call support and on-site attendance in critical events , maintenances and breakdowns is a requirement of this role Work order management
    • Assist as directed for any other sites.
    • Ad-hoc project management work
    • Carry out site inspections of corporate properties.
    • Any other reasonable tasks as directed.
  • Limiting Risk to JLL & the Client
    • Ensure the JLL Operational Risk Management (ORM) program is implemented and maintained.
    • Ensure disaster recovering and business continuity plans are implemented and maintained.
    • Ensure escalation procedures and incident reporting procedures are implemented and maintained.
    • Follow established escalation procedures and incident reporting procedures.
    • Adhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines, procedures, and strategies

Before you apply it’s also worth knowing what we are looking for:

  • To be successful, you’ll have a proven track record in Facilities Management, with 5-star client service and interpersonal skills.
  • You’ll be able to take direction and tackle a variety of complex issues within tight deadlines. You’ll be goal orientated and focused on exceeding performance targets.
  • Also important is understanding the basics when it comes to the technical aspects of a property (air-conditioning, fire, mechanical, electrical) and some knowledge of critical facilities will be highly regarded but not essential.
  • You may be an Assistant Facilities Manager ready to step up into a FM role and can demonstrate a proactive and professional approach to customer services and stakeholder engagement.
  • You will be required to travel to sites in QLD therefore you will have a current drivers licence and vehicle.
  • Has experience working in critical environments.
  • Knowledge of local occupational health and safety requirements
  • Knowledge of critical facilities
