Receptionist

(Location: Budapest)

Role:

The Receptionist is responsible for coordinating the front desk and if needed replacing mailroom operations, ensuring duties are performed in accordance with company policies.

Responsibilities:

  • Coordinating client’s reception activities at the highest level from 7:00 to 18:00 from Monday to Friday in two shifts (7 a.m. - 4 p.m. and 8 a.m. - 5 p.m.)
  • Making sure that equipment (screens, lights) is turned on/off in accordance with client’s requirements.
  • Receiveing and guiding visitors including co-ordination with client employees; when needed arranging WIFI access to visitors.
  • Arranging taxi services, coordinating parking process and system according to the client’s policy.
  • Checking reception mailbox, answering all internal and external inquiries in regards to Facilities Team.
  • Managing access cards for visitors and client’s employees.
  • Managing HR activities (handling contracts for client’s new employees, tax and sick leave notes.)
  • Providing support to ensure facilities services are provided in an effective and efficient manner.
  • Dealing with all reception suppliers (vending, post, courier, carpet, cleaning, security, internal plants, confidential document, etc.)
  • Managing SAM parking system.
  • Managing access system.
  • Supporting and replacing Mailroom assistant if needed.
  • Wearing a uniform is mandatory for every working days.

Requirements:

  • Minimum 2 years’ experience as a receptionist and/or a mailroom assistant. Experience in front and back-office processes is required with strong administration and organization skills preferable.
  • Knowledge of handling a telephone system.
  • PC literacy and proven ability to manage daily activities using various systems, including the internet and e-mail functions.
  • Experience with reporting to clients on different subjects.
  • Strong client relationship skills and effective communication to client, visitors, and staff. Positive attitude is a key.
  • Good verbal communication skills (English & local language). Excellent verbal & written communication.
  • Strong customer service focus.
  • Self-motivated and confident problem solving & strategic thinking.
  • Flexible.
  • Team player.
  • Energy, focus and ownership.
