Objective
Based at our client’s location, the candidate will work on office project, space occupancy and management, reconfiguration, and minor projects to deliver a high level Facility Management services in line with our corporate clients’ business needs.
Accountabilities
Supporting all aspects of office space reconfiguration including, project coordination, space analysis, utilization and headcount reporting, seat allocation, change initiatives, client communication, liaising with contractors, tendering and the coordination of relocations.
Project Coordination
- Support moves, reconfigurations, and new building projects. Performs space analysis, user status review, and seat allocations.
- Interface between JLL Facility team and project managers and provide general coordination support.
- To be involved in the project team when there is an Interior Designer or Architect formulating the design concept.
- To assist the Facilities Manager to draft options for furniture layout optimisation.
Support Space Management
- Manage, maintain and update building space
- Collate local data and assist as required with analysis of occupancy demands
- Validate seat data and report as needed by Finance.
Furniture and inventory management
- Maintains inventory of all System furniture within the facility.
Maintenance of Information in CAD
- performs the following operations in AutoCAD for minor projects:
- Creation of new drawings when there are none,
- Creation of drawings for projects related to Space Planning,
- Update of existing drawings in case of a new furniture layout,
- Upload and maintain most current drawings in Shared drive
- Ensures that as-built drawings are delivered by the contractor upon project completion
Move Management
- Co-ordinate move requests upon the Facilities Manager instructions
- Arrange for the necessary infrastructure setup to enable the move to be completed on time and schedule.
Facilities Allocation
- To assist Facilities Manager in seat assignment, area demarcation, and perform quarterly update of allocated space types
Provide assistance in general administrative activities and any other duties as assigned by the Facilities Manager or Senior Account Management on a needs be basis.

Required Qualifications, Skills & Experience
- Degree / Diploma or equivalent qualification in Design or Architectural Technology / Project Management. Experienced individuals who have served in a similar capacity will be given due consideration
- Minimum 2 years’ experience in office facility space planning and fit-out coordination
- Strong administration and organisation ability with office space planning and CAD experience.
- Possess initiative and professionalism with the ability to multi task, organise and prioritise work,
- A team player who is able to work independently
- Experience dealing with both internal and external customers and managing client expectations
- Strong communication and interpersonal skills with the ability to build rapport quickly
- Good presentation skill with the ability to lead meeting and presentation to client / stalk holder.
- Sound computer skills in Microsoft Office software
