The Facilities Assistant will be responsible for but not limited to the following typical activities:
- Provide superior customer service to meet on-site client’s expectations
- Meet & greet all those entering the building in a warm, professional and polite manner
- Answer main incoming phone line and direct calls internally where possible
- Courier / Post & Logistic requirements
- Maintain confidentiality of all appropriate communications and documentation
- Meeting room preparation / set ups as required
- Access / Badge management as required
- General office duties and other tasks as assigned by Line Manager.
- Weekly/daily space planning as required
- Daily correspondence by email or ticketing system and reactive to facilities queries/service requests
- Ensure premises are always neat and in good working condition i.e. site walk around and escalation if required.
- Provide support for regular reporting packages
- Ensure required metrics are tracked on appointed systems
- Assist in the implementation of Industry Best Practice operations
- Conduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all times
- Complete additional projects, work, administration, reports as requested by the Facilities Manager.
- Ensure all relevant records are kept up to date in relevant locations
- Have an in-depth knowledge about the building and take pride and ownership of space.
- Act as a point of contact for building occupants to field questions with a customer centric approach.
- Re-organize furniture as needed throughout building.
- Monitoring stock levels of Stationery and Consumables used by Employees; as well as mail related supplies stock; and placing orders with suppliers.
- Replenish supplies/equipment as needed.
- Manage day to day mail room operation, deliveries, enquiries as required.
- Be aware of basic procedures, courier suppliers and all external key contacts
- Front of house support as/when required
- Ensure reception area and office meet expected and professional standards
- Provide world class service and ‘first contact’ experience to all client employee’s coming to the office.
- Provide advice & support on building information and local amenities for visiting employee’s.
- Follow established escalation procedures and incident reporting procedures
- Adhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies
- Support the needed quality management program for the specific site (give input to playbooks - procedures)
- Achieve Key Performance Indicators and Service Level Agreement targets
- Assist in all needed reporting (client and JLL internal)
