Project Management Responsibilities:

  • Manage multiple projects, overseeing the entire project lifecycle, from project identification to design, planning, client approval, permit issuance, construction, and financial closeout.
  • Review and approve project plans, designs, and specifications to ensure compliance with client and regulatory requirements.
  • Coordinate and track RFPs; maintain accurate and consistent electronic files and documentation.
  • Coordinate and negotiate with contractors, architects, and other stakeholders to ensure smooth execution of construction projects and adherence to budget and schedule.
  • Conduct on-site visits and inspections to monitor project progress and ensure compliance with quality standards.
  • Provide regular project updates to the Team Lead, including information on project schedule, budget, and risks, using the Client's Project Management web-based tools.
  • Prepare accurate project documentation for all construction phases, such as project charter, due diligence reports, budgets, schedules, meeting minutes, financial funding requests, status reports, punch lists, and special reports.
  • Prepare/update project status reports, process purchase orders and invoices, update tracking reports and maintain files for due diligence and financials.
  • Manage vendors, including general contractors, architects and engineers, security providers, and signage suppliers, ensuring adherence to project policies and procedures and completing project closeouts within 90 days after project completion.
  • Ensure compliance with client scope of work, collecting lien waivers, certificates of insurance, and other required documentation.

RPM Responsibilities

  • Manage employee space and seating workorders.
  • Manage general people/desk moves (from individual to varying size move needs).
  • Manage assets – addition/removal/ordering/onsite storage.
  • Ensure furniture purchases and all changes adhere to client’s standards in partnership with onsite Occupancy Planner
  • Coordinate and track all occupancy changes (desk swap, office layout changes) and track requests to update CAD records.
  • Organize and schedule with teams as needed, pre and post moves and changes.
  • Professionally resolve MAC related issues (remedy) promptly and accurately, provide timely responses.
  • Communicate clearly and professionally with business stakeholders, handle general internal queries, clarify concerns, and identify solutions.
  • Maintain discretion and confidentiality with regards to all discussed MAC planning and dealings.
  • Assist with maintaining the CAFM database, ensuring utilization of tool conforms to standards, maintaining common data elements, completing bulk data updates, and ensuring reports and themes are planned and maintained appropriately.
  • Onsite vendor coordination as needed.
  • Budget entries, scheduling, project creation and document tracking.
  • Prepare for/attend scheduled team, vendor, and client meetings.
  • All other tasks/duties as required.

Relationship Management & Communication

  • High levels of customer service. Ability to serve multiple clients at any given time, deliver on milestones and create a positive impression for the team and the company.
  • Effective communication skills are essential as there will be interactions with site customers, asset managers, facility engineers, customers, vendor partners, and client project team members.
  • Develop and maintain client relationships and assist in conflict resolution.
  • Strong verbal and written communication skills.
  • Provides clear, concise, communication.
  • Responds in a timely manner.

Qualifications:

  • Bachelor's degree preferably construction management, engineering, or related field
  • 3-4 years of facility, project or construction related experience in a Corporate Real Estate environment and an understanding of technical requirements for a business relocation.
  • Understanding of MEP infrastructure projects.
  • Ability to manage multiple projects and priorities simultaneously.
  • Understanding of construction processes and methods.
  • Ability to read and interpret construction plans and specifications.
  • Knowledge of construction contracting methods & invoicing with an attention to detail.
  • Strong problem-solving and decision-making skills.
  • Technology proficiency required; proficient with project management web-based applications, including but not limited to Outlook, Excel, Word, Teams & SharePoint.
  • Organizational skills and the ability to identify and manage priorities.

Business Development

  • Directly responsible for enhancing team revenues through the maintenance and expansion of existing client relationships and by developing new relationships. Functions as a subject matter expert for a specific product or service. Able to communicate all available products and service offerings of the Firm. Contributes to the development of new product and service delivery ideas for the business unit.

Miscellaneous

  • Any and all other duties and tasks assigned.
  • Comply with all JLL policies and procedures, including but not limited to time & expenses, ethics and business practice

MINIMUM REQUIRED

PREFERRED

Education/training

  • Bachelor’s degree in project management, construction management, architecture or project strategy planning
  • Minimum 2 years of assistant move manager or related experience.
  • Background in project management, construction management, architecture or project strategy planning is strong preferred.

Skills and knowledge

  • Proficient in FM: Systems move management module and/or facilities management system
  • Strong Microsoft Excel skills
  • Strong Microsoft Projects skills
  • Ability to utilize the Microsoft Office suite of technologies
