Itron is looking for an experienced Executive Administrative professional to support our Global Operations business segment. We are looking for an experienced, driven, individual who can partner and support our senior leadership, enabling them to successfully execute the strategic objectives of the global operations business team while maintaining a high level of confidentiality.
Duties and Responsibilities:
Calendar, Meeting and Travel Management:
- Heavy scheduling and complex calendar management––manage constantly evolving calendars using keen judgment to prioritize meetings appropriately and maximize efficiency of SVP and other VPs, as assigned
- Ensure SVP and VPs are equipped with all the necessary meeting information serving as a liaison to supporting teams, ensuring preparation information is provided, confirming meetings, and keeping up to speed on all matters requiring attention
- Plan, coordinate, and execute meeting logistics including presentations, agendas, Audio/Visual set up, and material distribution
- Establish cadence through recurring meetings with the broader executive team, direct reports, and cross-functional leadership, using keen judgement on project priorities and time management
- Coordinate and manage weekly staff meetings, quarterly staff meetings and quarterly all‐hands meetings, including presentation management, agenda creation, minute recording and action item tracking
- Effectively communicate and coordinate with cross-functional teams and external customers and partners as a representative of the SVP and VPs, as assigned
- Collaborate with cross functional teams on business-critical projects
- Coordinate travel arrangements (domestic and international) – including flights, hotels, meals, car service, international visas, itineraries, etc.
- Coordinate partner, prospect and customer meetings involving Global Operations senior management, and facilitate in-person meetings at our Austin office
- Prepare and submit expense reports through Concur in an accurate and timely manner
Procurement:
- Procurement and supplier management across the team; purchase order creation, invoice receipt and payment tracking, as well as direct communication.
- Track and monitor all POs, receipts, invoice submissions, and month‐end accruals. Work directly with budget owners and act as a liaison between them and AP to ensure on track for quarterly and year end budgets
Project work and misc.:
- Project work not limited but including board management and supplier communication, (int.) Meeting/ Event preparation, execution support and follow-up.
- Keep distribution lists current across Global Operations
- Assist new hires during onboarding process
- Primary contact for Consultants (POIs) hired by the Global Operations organization
- Compile and analyze data from events/sessions
- Serve as an active member of the EA team
- Build and maintain positive relationships with the Finance business partner
- Liaison to the local site facilities team
Required Skills & Experience:
- 10+ years supporting C-suite level executives, operating in a global environment
- Experience in booking and managing global complex travel itineraries and frequently changing calendars
- Experience processing expense reports, managing purchase orders, and familiarity with departmental budget monitoring
- Experience coordinating meetings/activities both internal and external
- Ability to multi-task and remain calm under high pressure situations
- Possess outstanding communication and interpersonal skills with the ability to communicate with executive management and Board of Directors
- Process-oriented and passionate about finding ways to improve processes and drive efficiencies
- Extremely organized with excellent attention to detail
- High technical proficiency in Microsoft Office and familiarity with productivity tools such as Concur, Oracle
- Ability to learn quickly and maintain a high-performance level in a dynamic environment with shifting priorities
- Team player able to effectively interact with other members of the team and EAs
- Ability to act independently with minimal supervision

The successful candidate's starting salary will be determined based on permissible, non-discriminatory factors such as skills and experience.
