Expected salary range of $52,573 to $58,415, varies based on experience, along with comprehensive benefits package that includes bonus and 401(k).

PRIMARY PURPOSE OF POSITION

The Senior Administrative Assistant provides comprehensive administrative support to the Workload Planning department. This role involves creating and maintaining multiple tracking reports to ensure visibility of field installations. The assistant coordinates installation dates with customers and department subcontractors as needed and collaborates with a team to oversee the scheduling process for HVAC, plumbing, and electrical services

PRIMARY DUTIES AND ACCOUNTABILITIES

  • Coordinate the scheduling of HVAC, Plumbing, and Electrical installations in conjunction with the Workload Planning Unit.
  • Deliver friendly, courteous, and responsive service to internal and external customers, exemplifying our corporate mission and values.
  • Maintain tracking programs across multiple Microsoft platforms.
  • Track statistics and work on special projects as assigned.
  • Provide administrative support as business needs require.
  • Maintain communication with customers, vendors, and local utilities.
  • Collaborate with the team to oversee the HVAC, Plumbing, and Electrical scheduling process.
  • Strategize with the Workload Planning Manager on technician availability to maximize customer availability and company revenue.
  • Answer and assist warehouse personnel with questions or information.
  • Answer and assist procurement with equipment issues, availability, and questions.
  • Prepare reports and documentation as required by the department.

MINIMUM QUALIFICATIONS

  • High School graduate with a minimum of two-year complex clerical work experience, or equivalent combination of formal education/training and experience.
  • Must demonstrate superior PC skills, strong customer service orientation; strong written and oral communication skills and the ability to handle confidential and sensitive information.
  • Ability to communicate effectively with all levels of staff and management
  • Ability to use Microsoft Excel/Word for Windows.
  • Ability to handle multiple tasks in a fast-paced environment and meet deadlines consistently.
  • Excellent customer service skills.
  • Ability to work in a team environment.
  • Ability to work independently and handle multiple tasks accurately.
  • Must be able to work various hours, including weekends, holidays, on call rotation and mandatory overtime.
