The Bureau of Administration is committed to delivering strategic support services to strengthen and empower the Office of the New York City Comptroller to manage and support our employees as they work toward ensuring the City's fiscal health. These services include Human Resources, Procurement, Payment, Facilities Management, and Budget Management.
Under the direction of the Manager of the Central Imaging Facility (CIF), the supervisor will oversee a team within the CIF. CIF supports the processing of transactions related to claims against the City, registering all City contracts, and enforcing labor laws. CIF is the central hub for all incoming documents, which are prepared for storage in the City’s Omnibus Automated Image Storage and Information System (OAISIS).
The Central Imaging Supervisor core duties include:
- Oversee the processing and storage of digital and paper transactions
- Track workflows of controlled documents to ensure on time periodic reviews and assist where needed for completion of reviews and approvals
- Route local documents for review and approval within the electronic documentation management system
- Assist in the creation of training documents for digital processing.
- Assist with maintaining a manual backup system for electronic document processing
- Provide employees with direction, guidance, support and evaluation to meet work unit service level agreements and perform within key performance indicators
- Appropriately delegates assignments based on employee skill sets and positions
- Monitors and evaluates employee performance and provides feedback in a timely and objective manner
- Analyze daily the key operational metrics for the processing of all CIF electronic and digital transactions in a timely and effective manner
- Ensure all electronic and digital documents are processed accurately within the CIF
- Liaise with colleagues regarding revised training, corrective actions and creation of procedural documentation
- Processing of Certificates of Residency
-Preform other duties and responsibilities as assigned.
Minimum Qualifications/Requirements:

COMPUTER ASSOC (OPERATIONS) - 13621
1. A certificate from an accredited technical school (approximately 675 hours) with a specialization in computer operations, and two years of satisfactory full-time computer operations experience, in a large-scale networked, multi- tiered, or mainframe computer environment, or two years of satisfactory data communications network experience working in a mainframe or multi-tiered computer environment; or
2. A baccalaureate degree from an accredited college or university and three years of satisfactory full-time experience as described in "1" above; or
3. A four-year high school diploma or its educational equivalent and four years of satisfactory full-time experience as described
in "1" above; or
4. A satisfactory combination of education and/or experience equivalent to "1", "2",or "3" above. However, all candidates must have at least two years of full-time experience as described in "1" above
- Demonstrated experience handling and maintaining confidential data. - High level of initiative and motivation with the ability to communicate in a clear and purposeful manner. - Strong organizational and time management skills. - Knowledge of documentation control systems, preferably the Omnibus Automated Image Storage and Information System (OAISIS). - Experience in digital document processing within a controlled environment preferably Citrix ShareFile. - Strong working knowledge and skills with Microsoft Word and Excel. - Experience with digital document storage and accessibility within Microsoft SharePoint. - Audit local and global document folders on SharePoint to ensure accuracy. - Excellent organizational, planning, management and communication skills. - Ability to work collaboratively with diverse populations. - Ability to work effectively with all levels of the organization to complete assigned projects within the specified timeline expected.
