Job Description

The mission of the Mayor’s Office of Media and Entertainment (MOME) is to support and strengthen New York City’s creative economy and make it accessible to all. MOME has four divisions: the Creative Sector Programs division, which supports industry and workforce development in the creative industries; the Film Office, which coordinates film and television production in public places; NYC Media, the largest municipal television and radio broadcasting entity in the country; and the Press Credentials Office, which issues press cards.

MOME is seeking a Programs Associate to join the Creative Sector Programs division, which currently has five employees. Creative Sector Programs staff lead several of MOME’s community, workforce, and educational initiatives and programs to support the development of NYC’s creative industries. In NYC, the creative industries of film, television, theatre/live performance, music, digital content, publishing, and advertising, account for roughly 500,000 local jobs and have an economic impact of $150 billion annually.

Under general direction, with wide latitude for independent initiative and judgment, the Programs Associate will perform very responsible work in the supervision, planning, implementation, coordination, monitoring and/or evaluation of Creative Sector Programs projects. Examples of Creative Sector Programs projects include: the JanArts NYC, NYC Public School Film Festival, New York Music Month, Made in NY Awards, and the Battle of the Boroughs Minecraft Challenge. The Programs Associate’s responsibilities will include the following, as directed:
- Assist the Creative Sector Programs staff with outreach, coordination, administration, promotion, and on-site support for MOME’s community, workforce, and educational initiatives and
programs to support the development of NYC’s creative industries and assist with MOME’s partners’ programs.
- Perform administrative work for MOME’s events, for example, project management, managing RSVPs, program communications with internal and external stakeholders, updating invitations
and run-of-show, collecting panelist bios and social media handles, volunteer coordination, material distribution, and any other day-of duties.
- Perform research and collect information, and prepare memos, lists, calendars, and reports.
- Assist with community outreach to distribute event information, support program mission and efforts, and answer general questions.
- Assist Creative Sector Programs staff with the collection of festival sponsorship deliverables, including post-event reports, archiving social media posts, and other materials.
- Provide administrative support such as filing, updating or creating databases (for example, a database of programmatic contacts), and maintaining records.
- Coordinate with MOME’s Communications Unit, Legal Unit, and Finance/Operations Unit and other relevant staff on projects.
o For events involving third parties, collect assets (for example, promotional materials) from MOME’s partners and provide to
MOME’s Communications Unit.
o Enter requisitions for services and programs contracts into the Requisition System.
o Work with Creative Sector Programs staff to create comprehensive budget documents.
o Provide information to MOME’s Legal Unit for contracts with program partners and service providers.
o Collect and track event invoices and receipts in a timely manner.
- Help prepare webinars and presentations for media and entertainment programs, including managing event production on virtual meeting platforms (such as Zoom and Teams), creating
invitations, managing speaker coordination, coordinating and providing technical support for practice sessions, and technical support for events including managing attendees and monitoring
chat functions.
- Select 'Made in NY' Talks career panels to recommend season programming and ensure up-to-date webpage of past career panels
- Assist with staffing MOME leadership and handling talent during events.
- Maintain a working relationship with vendors and venues, including MOME’s event production contractor.
- Maintain a working knowledge of MOME programs and events; and
- Perform special projects and other related duties assigned by Creative Sector Programs staff or the Commissioner.

HOURS/SHIFT
Day - Due to the necessary duties of this position in a 24/7 operation, candidate may be required to work various shifts such as weekends and/or nights/evenings.

Minimum Qualifications

1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.


Preferred Skills

The preferred candidate should possess the following: - Excellent writing and general communications skills Experience in writing letters/e-mail messages, reports, researching information and related forms of communication. - Excellent PC-based skills: Microsoft Office and similar programs, major internet search engine and database, some experience with virtual meeting platforms like Zoom or Teams, aptitude to learn new computer skills, systems, and technology. - Strong organization, administrative, and project management skills: ability to track deliverables for multiple projects. - Desire and ability to work on a team. - Ability to juggle multiple projects simultaneously and remain calm and collegial under pressure. - Ability to be flexible with work schedule, including working nights and/or weekends in all five boroughs, on occasion. - A demonstrated interest in the media and entertainment industry.

Residency Requirement

New York City residency is generally required within 90 days of appointment.
