This position is open to the public and all current city employees covered under the City’s Collective Bargaining Agreement with AMERICAN FEDERATION OF STATE, COUNTY, AND MUNICIPAL EMPLOYEES (AFSCME) – BARGAINING UNIT 1, 3, 4 & 5. Only employees in City job titles in this bargaining unit are eligible to bid.

​​​​ The mission of the Chicago Department of Public Health is to promote and improve health by engaging residents, communities, and partners in establishing and implementing policies and services that prioritize residents and communities. Under supervision, serves as frontline clinic staff, performing a variety of complex clerical duties for the Chicago Department of Public Health’s Nutrition/WIC Program, which may include but are not limited to those listed below.

ESSENTIAL DUTIES:

· ​​Engages with the public; welcomes program participants and guests into the clinic; directs them to appointments.

· Answers phones and takes messages.

· Uses participant-centered interpersonal skills when engaging with members of the public and program participants.

· Maintains clinic schedule and assists participants in scheduling appointments.

· Pre-screens program applicants to obtain basic demographic data such as name, address, and contact information, ensuring participants are not dually enrolled in services.

· Manages schedule and follows up with participants who miss appointments.

· Verifies identity, residency, and income eligibility, documents in program database.

· Documents any ineligible applicants in program database.

· Provides notification and obtains consent for referrals to other services.

· Reviews participants rights and responsibilities and documents participants’ consent and signature.

· Ensures National Voter Registration Act requirements are met when enrolling program participants.

· May take height and weight measurements of program participants and other basic health information as needed.

· Promotes and supports breastfeeding among program participants.

· Supports with periodic community engagement and outreach events at the clinic.

· Gathers, tabulates, and maintains statistical data and prepares related reports as needed.

· Enters documents, records, and information into computer systems.

· Places orders for miscellaneous office supplies.

· Responds to public inquiries about departmental or City programs and services.

· Prepares patient admission forms and folders, receives and records laboratory results.

Address: Multiple locations

Hours: Monday through Friday, 9:00 am to 5:00 pm OR 8:30 am to 4:30 pm, depending on clinic location

*Some additional hours may be required in case of a public health emergency

Qualifications

Minimum Qualifications

One year of clerical experience or an equivalent combination of training and experience.

Selection Criteria

This position requires applicants to complete an interview which will include a test and written exercise and/or a skills assessment test as part of the interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position, based on the oral and written parts of the interview will be selected.

Preference will be given to candidates possessing the following:

· Proficiency in MS Office Suite (Word, Excel, Teams, and Outlook)

· Excellent communication skills

· Previous customer service experience

· Associate degree or higher from an accredited college or university

Residency Requirement: All employees of the City of Chicago must be actual residents of the City as outlined in 2-152-050 of the City of Chicago Municipal Code. Proof of residency will be required.
