Overview:
This is a provisional appointment.
Brief Job Description (essential functions of the job):
Under the direction of the assigned Senior Manager or designee, the Program Assistant will provide support services for Small Business Development programs and project operations.
Responsibilities:
- Provides customer assistance and responds to constituent inquiries via phone, in person, and website by providing public information on all programs and services.
- Assists with administrative support to all units as required, including, but not limited to, processing program paperwork, including constituent applications, vendor setup, and project funding.
- Sets up service orders and purchase orders and processes invoices for all programs.
- Assists staff with preparation for Request for Proposals and Contract.
- Assists staff with project reporting and tracking systems and responds to department’s request for information.
- Organizes workshop materials and dissemination of program marketing material.
- Sets up and maintains file systems.
- Schedules meetings, workshops, and seminars.
- Performs other related duties as required by the position.
Minimum Entrance Qualifications:
- At least two (2) years of administrative experience required, preferably experience in public administration.
- Appropriate educational substitutions may be made.
- Demonstrated communication, interpersonal, organizational, and follow-up skills.
- Ability to manage several projects at once.
- Working knowledge of computer-based office software, such as MS Office (Word, Excel) and Google; Salesforce and PeopleSoft preferred.
- Ability to exercise good judgment and focus on detail as required by the job.
