Overview:

Brief Job Description (essential functions of the job):

Under the supervision of the Director of Operations or his/her designee, performs work of moderate difficulty managing the purchasing, receipt, storage, maintenance, and distribution of equipment, tools & supplies at the Parks Department Maintenance Facility. Performs related work as needed.

Responsibilities:

  • Orders, receives, and stores tools, supplies, and equipment.
  • Verifies incoming orders against packing lists, organizes stock rooms, rotates stock, and tracks inventory.
  • Contacts various vendors to obtain prices and locate items as needed.
  • Responsible for all purchasing transactions, including ordering of inventory and supplies, entering of requisitions and purchase orders into the City’s computerized financial software system, and tracking of accounts payable.
  • Responsible for safeguarding and accounting of maintenance division inventory of tools, equipment, and supplies.
  • Receives and tracks new inventory.
  • Issues equipment, tools, and supplies to supervisory personnel; documents issuance, return, and condition of all items.
  • Maintains accurate records of orders, packing slips, receiving slips, and other documentation.
  • Works with superintendents and vendors in the submission and receipt of orders.
  • Corrects issues with orders as required.
  • Manages the Department’s annual lease purchase program, including assisting with drafting specifications for vehicles to be purchased.
  • Active involvement in tasks related to the procurement, operation, maintenance, repair, and service of all vehicles assigned to the Department.
  • Performs related duties as required.

Minimum Entrance Qualifications:

  • At least two (2) years of full-time administrative, managerial, or professional experience in the field of office or business administration, including duties related to purchasing, budgetary control, accounting, records management, and inventory control.
  • A bachelor’s degree in business administration or a related field is preferred.
  • Knowledge of public purchasing processes & laws is preferred.
  • Ability to track and operate within an operating budget required. Peoplesoft/BAIS Financials experience preferred.
  • Experience with Microsoft Office applications, including Word, Excel, etc., required.
  • Effective written and verbal communication skills required.
  • Must have and maintain a current Massachusetts driver's license.
  • CDL preferred.
  • Ability to exercise good judgment and focus on detail as required by the job.
